Client Externship Coordinator

This is a fully remote position, open to applicants in United States.

📋 Description

• Take charge of cross-functional collaboration between Client Success, Client Coordination, and Veterinary Externship Operations to address the externship needs, priorities, inquiries, and escalations of enterprise partners.

• Develop and nurture relationships with internal stakeholders and enterprise partners.

• Act as the primary subject matter expert on externships and serve as a professional point of contact.

• Engage in Veterinary Externship Team meetings and stay updated on operations, program requirements, placement processes, policies, trends, and AVMA updates.

• Distill complex program, operational, policy, and regulatory information into clear guidance, updates, resources, and talking points.

• Lead and participate in client meetings, town halls, onboarding sessions, informational meetings, and training events.

• Address client concerns and escalations, coordinate with stakeholders, and ensure timely resolution and follow-through.

• Collaborate with Client Success Managers and Client Coordinators to prepare for client discussions and meet account-specific needs.

• Advocate for the client perspective within Veterinary Externship Operations and work together on process enhancements.

• Utilize CORE daily to oversee student participation, placement status, site applications, progression, completion, and externship activities.

• Convert CORE data into internal and client-facing reports, status updates, and actionable insights.

• Communicate, meet, collaborate, document, and follow up using email and Microsoft Teams.

• Create, maintain, and distribute reports, FAQs, how-to guides, training materials, process documentation, toolkits, talking points, and best-practice recommendations.

• Identify common questions, escalations, operational barriers, and process gaps to develop scalable solutions.

• Assist in prospective client discussions and clarify externship requirements and processes.

• Support sponsored students throughout the externship placement and completion process, including reviewing and monitoring student and site applications.

• Track KPIs, CORE data, client feedback, and externship trends to spot risks and opportunities.

• Elevate significant risks and unresolved or recurring issues to the appropriate leaders.

• Engage in process improvement initiatives, system enhancements, and cross-functional projects.

• Attend industry conferences, trade shows, and partner events as needed, typically once or twice a year.


⛳️ Requirements

• Current credential as a Veterinary Technician — RVT, LVT, or CVT — or as a Veterinarian.

• Capability to operate effectively within a matrixed organization and balance priorities across Client Success, Client Coordination, Veterinary Externship Operations, enterprise partners, and students.

• Ability to foster trusted client relationships through consultative partnership, operational expertise, responsiveness, and sound judgment.

• Exceptional written and verbal communication skills for client-facing interactions.

• Proficient in leading meetings, clarifying complex processes, setting expectations, and conveying difficult information professionally.

• Skillful in managing sensitive conversations and client escalations with calmness and respect.

• Strong active listening, critical thinking, problem-solving, organizational, and follow-through abilities.

• Capacity to evaluate urgency, prioritize competing needs, and coordinate actions until resolution.

• Proficiency in absorbing detailed program, policy, operational, and regulatory information and translating it into concise communication.

• Ability to learn and effectively utilize technology platforms for managing student, site, placement, and progression information.

• Competent in using email and Microsoft Teams.

• Role-specific assessment required as the first step in the hiring process.

• Successful completion of relevant pre-employment screening requirements.

• Employment eligibility verification through Form I-9.

• Preferred: previous experience with CORE.

• Preferred: experience supporting enterprise clients, sponsored education programs, externship or clinical placement operations, or veterinary education programs.

• Preferred: experience collaborating across client-facing and operational teams in a matrixed or collaborative environment.

• Preferred: experience interpreting and communicating educational, accreditation, regulatory, program, or policy updates.

• Preferred: experience in developing reports, training materials, process documentation, FAQs, talking points, or client-facing resources.
