Client Externship Coordinator

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee the cross-functional collaboration between Client Success, Client Coordination, and Veterinary Externship Operations to address the externship needs, priorities, inquiries, and escalations of enterprise partners.

• Establish and nurture trusted relationships with both internal stakeholders and enterprise partners.

• Act as the primary subject matter expert and professional contact for externship-related matters.

• Engage in Veterinary Externship Team meetings to remain informed about operations, program requirements, placement procedures, policies, trends, and AVMA updates.

• Distill complex information related to programs, operations, policies, and regulations into clear guidance, updates, reports, and resources.

• Lead and contribute to client meetings, town halls, onboarding sessions, informational meetings, and training events.

• Address client concerns and escalations, ensuring timely resolution and follow-up.

• Advocate for the client perspective within Veterinary Externship Operations and contribute to process enhancements.

• Utilize CORE on a daily basis to oversee student participation, placement status, site applications, progress, completion, and other externship activities.

• Convert CORE data into internal and client-facing reports, status updates, and actionable insights.

• Employ email and Microsoft Teams for partner communication, meetings, collaboration, documentation, and follow-up.

• Create and disseminate reports, FAQs, how-to guides, training materials, process documentation, toolkits, talking points, and best-practice recommendations.

• Identify recurring inquiries, operational challenges, and process deficiencies, and develop scalable solutions.

• Assist in discussions with prospective clients and support sponsored students throughout their placement and completion.

• Track KPIs, CORE data, client feedback, and externship trends to pinpoint risks and opportunities.

• Escalate critical risks and unresolved issues with appropriate context, documentation, and proposed next steps.

• Take part in initiatives aimed at process improvement, system enhancements, and cross-functional projects.

• Attend industry conferences, trade shows, and partner events as necessary, typically once or twice a year.


⛳️ Requirements

• Current credentials as a Veterinary Technician (RVT, LVT, or CVT) or a Veterinarian.

• Ability to effectively navigate a matrixed organization and balance priorities across Client Success, Client Coordination, Veterinary Externship Operations, enterprise partners, and students.

• Skill in establishing trusted client relationships through consultative partnerships, operational knowledge, promptness, and sound judgment.

• Excellent written and verbal communication skills for client-facing interactions.

• Capability to lead meetings, clarify complex processes, set expectations, and convey challenging information in a professional manner.

• Proficiency in managing sensitive discussions and client escalations with composure and respect.

• Strong active listening, critical thinking, problem-solving, organizational, and follow-through abilities.

• Ability to evaluate urgency, prioritize competing needs, and coordinate actions to resolution.

• Competence in comprehending detailed program, policy, operational, and regulatory information and translating it into concise communication.

• Proficient in learning and working effectively within technology platforms that manage student, site, placement, and progression information.

• Proficient in using email and Microsoft Teams.

• Completion of a required role-specific assessment.

• Successful passing of applicable pre-employment screening and background checks.

• Verification of employment eligibility through Form I-9.

• Preferred: prior experience utilizing CORE.

• Preferred: experience in supporting enterprise clients, sponsored education programs, externship or clinical placement operations, or veterinary education programs.

• Preferred: experience working across client-facing and operational teams in a collaborative or matrixed environment.

• Preferred: experience in interpreting and communicating updates related to education, accreditation, regulations, programs, or policies.

• Preferred: experience in developing reports, training materials, process documentation, FAQs, talking points, or other resources.
