This is a fully remote position, open to applicants in New Jersey.
• Execute non-licensed administrative responsibilities for real estate professionals. Track and oversee contractual dates and deadlines to ensure transactions are completed promptly, efficiently, and accurately.
• Work closely with the agent services department, agents, and other external parties to guarantee that all necessary documentation is collected for compliance within the transaction files in the relevant systems.
• Systematically organize all transaction details in the appropriate systems while consistently updating the agent, client, and third parties.
• Act as the main point of contact for all stakeholders involved in the deal, including agents and their clients, throughout the closing process, which involves acquiring documentation or information necessary for a clear-to-close status.
• Manage the complete end-to-end transaction processing by recording transaction-related expenses, verifying detail accuracy, preparing commission invoices, calculating and finalizing commission payments, and proactively addressing discrepancies to ensure timely and accurate payouts to agents.
• Maintain regular communication updates with all parties involved in the transaction.
• Focus on providing exceptional service to agents and all parties with a positive and engaging demeanor to facilitate a smooth experience.
• At least 2 years of experience in real estate, mortgage, title administration, or transaction coordination is required.
• Self-driven individual capable of working independently with a sense of urgency in a fast-paced, high-volume paperless environment.
• People-centric approach, ensuring that agents and consumers remain at the forefront of the transaction by anticipating their needs and delivering outstanding customer service throughout the process.
• Technical proficiency with the ability to learn and navigate various software systems at an advanced level, demonstrating comfort with transaction management and financial tools.
• Strong analytical thinking and attention to transaction accuracy, employing critical thinking and problem-solving skills to manage financial details like expenses, invoices, and commission calculations while analyzing data to identify discrepancies, promptly resolving issues, and maintaining compliance and data integrity.
• Capable of managing end-to-end workflows effectively, prioritizing tasks, and ensuring timely completion of transaction processes.
• Collaborative mindset, remaining open to the ideas of others and willing to explore new approaches.
• Excellent oral and written communication skills, able to articulate clearly and persuasively in any situation to advise and resolve issues effectively.
• Commitment to quality assurance, demonstrating accuracy and thoroughness while monitoring personal work to ensure high standards.
• Adaptable to changes in the work environment, effectively prioritizing and managing competing demands, and capable of handling frequent changes, delays, or unexpected events with resilience.
• Skilled in building collaborative relationships, developing, maintaining, and strengthening partnerships with agents and colleagues while providing needed information and support.
