Claims Coordinator

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee the dispatch of more than 750 vehicles each week using internal technology to assign tasks to technicians and/or third-party locksmiths.

• Administer and refresh claims within the designated portal.

• Conduct daily follow-ups with technicians to provide customers with precise ETAs on outstanding claims.

• Confirm the accuracy of pictures and invoicing prior to uploading them to the customer through the portal.

• Initiate void requests and rebill claims when documentation is found to be incorrect to guarantee proper resolution.

• Offer customer quotes as necessary for the resolution of claims.

• Track claims cycle times and ensure they are processed in a timely manner.

• Relay cycle time updates to technicians and management.

• Maintain precise records and documentation for all claims.

• Assist with administrative responsibilities such as data entry, report creation, and system updates.

• Conduct weekly audits of claim documentation to ensure adherence to customer and internal standards.

• Organize digital records for all claims, dispatches, and communications to ensure audit readiness.

• Produce weekly and monthly reports on claim volume, cycle times, and resolution rates.

• Recognize trends in claim delays or errors and suggest improvements to processes.

• Collaborate with the Keys Inventory and Dispatch teams to ensure synchronization regarding vehicle availability and technician capacity.

• Work in conjunction with Customer Service to address escalated claims or customer issues.

• Recommend updates to claim workflows or dispatch logic based on recurring challenges or feedback.

• Engage in discussions regarding system enhancements (e.g., updates to the Aango portal or improvements to dispatch technology).

• Train new team members on procedures for handling claims and dispatch protocols.

• Develop and sustain SOPs for claims processing and dispatch workflows.


⛳️ Requirements

• High school diploma or equivalent; an associate or bachelor’s degree is preferred.

• A minimum of 2 years of experience in claims coordination, dispatch, or customer service roles.

• Proficient in utilizing claims management systems such as Aango and dispatch technology.

• Excellent written and verbal communication abilities.

• Capacity to handle a high-volume workload and effectively prioritize tasks.

• Experience collaborating with third-party vendors and technicians.

• Basic knowledge of invoicing and documentation standards.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
