Chief of Staff – Integrator

This is a fully remote position, open to applicants in United States.

📋 Description

• Capture and systematically organize the priorities, ideas, and decisions of the Founder to ensure all aspects are addressed.

• Convert leadership guidance into actionable project plans that include clear ownership, deadlines, and deliverables.

• Conduct execution rhythms such as daily updates, progress assessments, and escalation tracking.

• Protect leadership from unnecessary operational distractions and reactive workflows.

• Proactively provide concise daily and weekly operational summaries.

• Maintain and prioritize an organized backlog of ideas and initiatives.

• Oversee and sustain the master project tracking system across both brands.

• Facilitate recurring execution meetings concentrating on progress, obstacles, missed deadlines, and subsequent steps.

• Consistently follow up with team members to ensure timely completion of commitments.

• Promote accountability while sustaining positive and professional team dynamics.

• Confirm that every initiative has a designated owner, timeline, and success criteria.

• Develop and refine standard operating procedures (SOPs) for recurring workflows, including product launches, fulfillment coordination, catalog management, asset requests, and operational processes.

• Create and manage project management systems within platforms such as Monday.com, ClickUp, Asana, or similar tools.

• Identify operational inefficiencies and enhance them through templates, automation, systems, and documentation.

• Independently oversee execution priorities related to the company's rapidly growing medical and healthcare-focused brand.


⛳️ Requirements

• Proven experience as a Chief of Staff, Integrator, Head of Operations, or Operations Manager in a founder-led organization.

• Strong background in eCommerce operations, including direct exposure to platforms like Amazon, Shopify, or multi-channel selling environments.

• Exceptional English communication capabilities, with natural conversational fluency and refined presentation skills.

• Experience in building project management systems and workflows from the ground up.

• Demonstrated ability to consistently finalize projects and see initiatives through to completion.

• Strong leadership and accountability management skills, with confidence in addressing operational gaps directly.

• High level of business acumen, with an understanding of operational execution linked to growth and revenue.

• Capacity to work independently in fast-paced and dynamic environments.

• Strong proficiency in utilizing AI tools such as ChatGPT, Claude, or equivalent platforms as part of daily workflows.
