This is a fully remote position, open to applicants in United Kingdom.
• Take ownership and oversee the organization’s primary business systems (SharePoint, Miro, HubSpot, PandaDoc, among others), which includes configuration, user life-cycle management, integrations, and compliance posture.
• Establish and implement access control policies, role-based permissions, and procedures for joiners, movers, and leavers across all platforms, including performing regular access reviews.
• Create and operationalize processes aligned with compliance, covering data retention, GDPR obligations, and audit-readiness initiatives.
• Develop and sustain standard operating procedures for system lifecycle events (new system onboarding, configuration modifications, project initiation, team adjustments, departures, etc.).
• Ensure that governance and ownership processes for systems within the organization are compatible with future ISO 27001 and SOC 2 compliance initiatives.
• Serve as the main point of accountability for system governance, collaborating with stakeholders throughout the business to maintain practical and proportionate controls.
• Keep controlled documentation regarding system configuration, compliance procedures, and information management.
• Lead evaluations of compliance and governance when new tools or systems are introduced, ensuring they align with organizational standards prior to adoption.
• Manage vendor risk assessments for SaaS and third-party platforms, including conducting due diligence on security posture, data handling, and contractual compliance.
• Establish technical and governance boundaries for business-developed tools, low-code applications, and internal prototypes, providing teams with secure pathways to build and deploy without generating shadow IT or orphaned systems.
• Clarify data boundaries for Client onboarding, Change Management, Disaster Recovery, and Business Continuity workstreams.
• Minimum of 5 years' experience in owning and administering business systems within a regulated environment (pharmaceuticals, life sciences, financial services, or similar), or in a quality/compliance role supporting business systems.
• Exceptional attention to detail and document management skills, along with the maintenance of systems documentation.
• Practical knowledge of one or more compliance frameworks (ISO 27001, SOC 2, GxP, PCI-DSS) and a solid understanding of GDPR.
• Capability to translate compliance requirements into actionable, auditable processes that can scale with the business.
• Familiarity with system validation, change control, or quality management concepts (a significant advantage).
• Strong skills in stakeholder management and influence; adept at holding vendors and senior internal stakeholders accountable.
• Self-motivated and comfortable navigating ambiguity — capable of establishing structure where it is lacking.
