This is a fully remote position, open to applicants in Netherlands.
• Assist local brand teams with business administration and support tasks.
• Coordinate local affiliate team meetings, including arranging meeting rooms and catering.
• Archive marketing materials to comply with legal requirements.
• Oversee the mailbox and general office phone line, ensuring product information updates are forwarded and archived according to SOP VV-QUAL-SOP-01927.
• Keep HCC and third-party contract templates current.
• Review and confirm contracts and statements of work prior to signature.
• Draft and collaborate on advisory board contracts in conjunction with the compliance manager.
• Prepare and dispatch invitation letters to healthcare professionals attending congresses.
• Communicate with legal headquarters as needed.
• Upload, track, and archive contracts in the contract management system.
• Provide support to affiliates and headquarters when interacting with Dutch healthcare professionals and organizations.
• Act as the Data Entry Person for the disclosure and reporting of Transfers of Value.
• Validate Transfers of Value and follow up on declarations from other affiliates.
• Implement EFPIA and VIG guidelines and legislation.
• Annually enter data into the official Dutch system and address any inquiries or comments.
• Monitor the transparency mailbox.
• Manage Anti-Bribery and Due Diligence assessments for both new and existing vendors.
• Ensure that proper documentation for Anti-Bribery and Due Diligence assessments is available and archived.
• Maintain supplier lists on Teams and the Third Party Due Diligence Europe & International ABAC channel.
• Serve as backup for the Benelux QA Manager.
• Ensure timely entry of complaints in Veeva Quality during the absence of the QA Manager.
• Essential: MBO-4 education.
• Essential: 3 years of professional experience.
• Preferred: HBO education.
• Preferred: 3 years of experience in a similar role; experience in the pharmaceutical sector is advantageous.
• Strong attention to detail and a methodical working style.
• Excellent organizational abilities.
• Effective communication skills and a capacity for teamwork.
• Proficiency in Dutch and English.
• Familiarity with the pharmaceutical industry and its regulations, including CGR in the Netherlands, is beneficial.
• High motivation and a sense of accountability.
• A proactive, results-oriented approach with a focus on delivery.
• Flexibility and initiative are essential.
• Ability to juggle multiple tasks and work efficiently in a fast-paced, high-pressure environment.
