This is a fully remote position, open to applicants in United States.
• Ensure that books are maintained accurately and up-to-date in QuickBooks Online or the specified accounting platform.
• Record, categorize, and review all financial transactions.
• Oversee the maintenance of the general ledger and chart of accounts.
• Prepare and post both routine and adjusting journal entries.
• Reconcile bank accounts, credit card statements, payment platforms, and other balance-sheet accounts.
• Investigate and resolve any discrepancies that arise.
• Keep financial records and supporting documentation organized.
• Manage vendor invoices, payment schedules, vendor payments, contractor payments, and outstanding bills.
• Assist with the preparation and reporting of year-end 1099s.
• Generate invoices, record customer payments, monitor overdue amounts, and reconcile accounts receivable with the general ledger.
• Coordinate payroll processing with the payroll provider and review payroll reports.
• Record payroll activities and reconcile payroll-related accounts.
• Collaborate with management, the payroll provider, and external professionals to resolve payroll discrepancies.
• Support bookkeeping tasks related to California employees and payroll.
• Complete monthly bookkeeping tasks and close procedures on time.
• Prepare standard monthly financial statements, which include profit and loss, balance sheet, cash flow, accounts payable and receivable summaries, and budget-to-actual reports as needed.
• Provide management with clear, accurate, and well-organized financial reports.
• Track cash balances and upcoming financial obligations.
• Identify unusual transactions, missing documentation, or significant discrepancies and promptly inform management.
• Proven experience as a Full-Charge Bookkeeper, Senior Bookkeeper, Accounting Specialist, or a similar hands-on accounting role.
• Strong working knowledge of full-cycle bookkeeping processes.
• Experience with maintaining the general ledger, journal entries, and account reconciliations.
• Background in managing accounts payable and accounts receivable.
• Experience in coordinating payroll and reconciling payroll activities.
• Capability to complete monthly closing procedures and prepare standard financial statements.
• Proficient in QuickBooks Online or a similar accounting platform.
• Strong skills in Microsoft Excel or Google Sheets.
• Ability to independently organize recurring deadlines and keep financial records current.
• Meticulous attention to detail and a high degree of accuracy.
• Clear and professional communication skills, both written and verbal.
• Sound judgment in handling sensitive financial information.
• High standards of confidentiality, integrity, dependability, and follow-through.
• Ability to identify discrepancies, ask relevant questions, and escalate issues in a timely manner.
• Preferred: familiarity with California payroll bookkeeping and documentation.
• Preferred: experience in financial services, wealth management, registered investment advisory, or professional services firms.
• Preferred: experience in supporting a remote workforce and independent contractors.
• Preferred: experience with Gusto, Bill.com, Deel, Wise, Payoneer, or similar systems.
• Preferred: familiarity with contractor payments and international payment platforms.
• Preferred: experience working directly with an outside CPA, tax preparer, or fractional Controller.
