
Billing Specialist – Administrative Assistant

This is a fully remote position, open to applicants in California.
• Oversee water utility billing operations
• Generate customer invoices and ensure precise billing documentation
• Record billing data in company software systems
• Establish new customer accounts in the billing software
• Support the scheduling and routing of meter readers
• Aid in the transfer and verification of billing system data
• Generate service orders for field personnel concerning high or low meter readings
• Compile lists of delinquent accounts, dispatch billing reminders, and create monthly shut-off lists
• Assist in the preparation and execution of monthly utility billing
• Keep billing, customer, and administrative records organized and accurate
• Order and manage office supplies
• Draft letters, reports, forms, schedules, spreadsheets, financial information, and statistical data
• Respond to incoming customer inquiries and deliver professional customer service
• Effectively communicate with customers, field staff, management, and other departments
• Support special projects and carry out other related administrative tasks
• High school diploma or equivalent is mandatory
• At least three (3) years of experience in general office administration, utility billing, accounts payable, accounts receivable, bookkeeping, or similar administrative support roles
• Capability to work independently with minimal direct supervision
• Ability to perform precise mathematical calculations and utilize a 10-key calculator
• Strong attention to detail with a high degree of accuracy in data entry and recordkeeping
• Proficient in Microsoft Office applications, including Word, Excel, and Outlook
• Experience with billing, accounting, or bookkeeping software systems is preferred
• Excellent organizational, time-management, and multitasking skills
• Outstanding verbal and written communication abilities
• Proven customer service and telephone communication skills
• Competency in following verbal and written instructions with minimal oversight
• Ability to work independently while positively contributing to a team environment
• Exhibit professionalism, accountability, dependability, and integrity in daily tasks
• Ability to maintain confidentiality and develop effective working relationships with colleagues, management, clients, and the public
• Reliable attendance and punctuality are essential
