This is a fully remote position, open to applicants in United States.
• Oversee the comprehensive administration of the company's 401(k) plan(s), which includes managing eligibility, enrollments, deferral modifications, employer contributions, loans, hardship withdrawals, distributions, notifications, and participant assistance.
• Collaborate with recordkeepers, third-party administrators, Payroll, and Finance to guarantee accurate and timely payroll deductions, funding contributions, and reconciliations.
• Supervise annual retirement plan processes, such as nondiscrimination testing, census analysis, audit assistance, Form 5500 coordination, plan notifications, and resolution of operational issues.
• Ensure plan operations comply with ERISA, IRS, and Department of Labor regulations.
• Assist with plan design modifications, vendor changes, and retirement education initiatives.
• Manage U.S. health and welfare programs, encompassing medical, dental, vision, life, disability, FSA/HSA, commuter, COBRA, and leave-related benefits.
• Oversee benefits onboarding, life event transitions, terminations, employee communications, and resolution of escalated issues.
• Direct open enrollment planning and execution, which includes system configuration, testing, employee training, vendor coordination, and post-enrollment reconciliation.
• Assess carrier invoices and eligibility files to ensure accurate billing and resolve discrepancies in a timely manner.
• Maintain benefits information in HRIS, knowledge bases, employee manuals, and internal process documentation.
• Ensure benefits processes conform to the EOR business model and collaborate with internal teams supporting U.S. employees and client populations.
• Assist in managing benefits compliance for a multi-state U.S. workforce, including ACA tracking, necessary notifications, plan document management, and eligibility criteria.
• Work alongside Legal and Compliance teams on benefits-related policies, employee communications, and risk management strategies.
• Support audits, internal controls, and documentation related to benefits and retirement plan administration.
• Identify process inefficiencies, streamline operations, and implement scalable controls that enhance service delivery and mitigate compliance risks.
• Act as the primary contact for brokers, carriers, retirement plan vendors, COBRA administrators, leave vendors, and other external partners.
• Monitor vendor performance against service level agreements, escalate issues, and lead regular operational evaluations.
• Collaborate with Payroll, HRIS, People Ops, Finance, and Customer/Client teams to ensure the seamless execution of benefits programs.
• Provide guidance to employees, managers, and internal stakeholders regarding benefits policies and programs.
• Minimum of 5 years of progressive benefits experience, ideally in an EOR, PEO, staffing agency, multi-entity, or complex employer setting with distributed and/or multi-state employee populations.
• In-depth understanding of the U.S. benefits lifecycle, including eligibility, enrollment, life events, payroll deductions, carrier administration, and reconciliation processes.
• Advanced knowledge of 401(k) operations, including payroll integration, contribution remittance, eligibility tracking, notification processes, testing support, and vendor management.
• Strong grasp of U.S. benefits compliance regulations, including ERISA, COBRA, ACA, HIPAA, Section 125, and associated retirement and welfare plan requirements.
• Proven experience managing annual open enrollment from system setup through testing, launch, and post-enrollment reconciliation.
• Exceptional analytical, reconciliation, and problem-solving abilities, with a keen attention to detail.
• Familiarity with HRIS, payroll systems, benefits administration platforms, and retirement recordkeeping systems.
• Capability to troubleshoot complex system and benefits challenges and identify root causes.
• Proficient in Excel and data analysis, with experience handling benefits data and reports.
• Excellent written and verbal communication skills, with the capacity to clearly explain benefits to employees and stakeholders.
• Ability to work autonomously in a fast-paced and highly collaborative environment while managing multiple priorities simultaneously.
• Preferred: experience in supporting or developing benefits programs within a high-growth EOR or global workforce organization.
• Preferred: experience with 401(k) audits, Form 5500 coordination, plan testing, audits, plan amendments, and vendor implementations.
• Preferred: familiarity with leave administration and multi-state leave regulations.
• Preferred: CEBS, CBP, SHRM, PHR, or similar professional certifications.
• Preferred: experience with Workday, ADP, Rippling, UKG, Paylocity, or similar HR/payroll platforms.
