This is a fully remote position, open to applicants in United States.
• Manage all daily operations related to benefits, which include enrolling employees, maintaining eligibility, processing changes, submitting information to insurance providers, updating payroll deductions, and assisting with compliance tasks.
• Collaborate closely with our licensed agent and company leadership to guarantee employees receive precise and timely assistance.
• Employee Onboarding & Enrollment: Gather necessary employee and dependent information; input new hire data into benefits platforms (such as Employee Navigator, Ease, etc.); provide plan summaries, SBCs, and mandated notices; process elections for medical, dental, and vision plans; submit enrollments and changes to insurance carriers; and track enrollment confirmations and ID cards.
• Benefits Administration: Ensure accurate maintenance of employee eligibility and coverage status; process qualifying life events (e.g., marriage, birth, loss of coverage, etc.); manage additions, terminations, and plan changes; update payroll deductions for benefits; respond to employee benefits inquiries via email and messaging; and maintain organized digital records for compliance.
• Carrier & Payroll Coordination: Reconcile monthly billing statements from carriers; identify and rectify premium discrepancies; collaborate with payroll to ensure accurate deductions; and submit necessary forms, documents, and updates to carriers as required.
• Compliance & Reporting: Maintain enrollment documentation and audit trails; assist with ACA tracking and reporting; manage COBRA notifications (in collaboration with a third-party vendor); ensure adherence to company policies and deadlines; and support the annual open enrollment and plan renewals.
• System Administration: Keep benefits platforms updated with the correct plan information; upload new plan documents and SBCs; maintain census files and reports; and assist with technology integration between benefits, HR, and payroll systems.
• Strong background in administrative or HR/benefits operations (preferred).
• Experience with benefits platforms (such as Employee Navigator, Ease, Rippling, Gusto, or similar) is highly advantageous.
• Excellent written and verbal communication skills in English.
• High attention to detail and accuracy.
• Ability to adhere to structured processes and meet deadlines.
• Comfortable working during U.S. business hours (minimum of 4–6 hours overlap).
• Advanced computer literacy (including Google Workspace, spreadsheets, and data entry).
• Quick learner, dependable, and proactive.
• Proficiency in Spanish is considered a PLUS.
