• Respond to incoming calls and function as the virtual front desk/receptionist.
• Provide professional assistance to patients with scheduling, inquiries, and follow-ups.
• Establish rapport with patients and deliver compassionate support.
• Manage sensitive conversations with empathy and professionalism.
• Schedule, confirm, and reschedule appointments as required.
• Conduct patient intake and collect essential demographic and insurance information.
• Distribute and oversee new patient paperwork prior to appointments.
• Follow up with patients who miss appointments and help with rescheduling.
• Accurately collect and process insurance information.
• Oversee co-pay collection and track credit card status.
• Collaborate with billers on prior authorizations.
• Pursue outstanding balances and manage collections.
• Aid patients in establishing payment plans when necessary.
• Ensure clinical notes are duly completed and signed by providers.
• Facilitate the onboarding of new providers into systems and workflows.
• Keep organized and precise records within the EHR system.
• Manage email communications and administrative tasks as required.
• Uphold confidentiality and maintain HIPAA compliance at all times.
• A minimum of 1 year of experience in a behavioral health, mental health, or medical administrative role is preferred.
• Experience with SimplePractice EHR is strongly preferred.
• Excellent phone communication and customer service abilities.
• Comfortable with emotionally sensitive patient interactions.
• Tech-savvy with the ability to quickly learn new systems and workflows.
• Highly organized with a keen attention to detail.
• Capable of multitasking and working independently in a remote environment.
• Experience with insurance verification, co-pay collection, and prior authorization coordination is advantageous.
• Basic requirements include proficiency in speaking and writing English clearly.
• Must possess relevant work experience.
• Ability to submit an NBI clearance and/or Local Police Clearance background check before onboarding is mandatory.
• Must be available for video meetings with camera on when required.
• Technical requirements include having a reliable laptop or desktop computer.
• Internet connection should be high-speed (minimum 10 Mbps).
• A noise-canceling headset for audio is necessary.
• A webcam is required for virtual meetings.
• Workspace should be a quiet, professional environment.
