This is a fully remote position, open to applicants in California, +2 more states.
• Take ownership of the agency's general ledger(s) and ensure the accuracy of all financial records.
• Oversee accounts payable for all agency vendors and manage accounts receivable and billing schedules.
• Direct the end-of-month closing process with precision and efficiency.
• Supervise the reconciliation of all bank accounts and corporate credit cards.
• Oversee the payments and reconciliations of corporate and payroll taxes.
• Manage 401(k) funding contributions and conduct annual plan audits.
• Assist in audits performed by external and statutory auditors.
• Aid in the creation and management of forecast reports for operating expenses and revenue.
• Compile and analyze labor reports to evaluate bill rates and profitability.
• Support cash management, revenue analysis, and the presentation of financial statements.
• Collaborate with agency leadership to develop internal financial tools, dashboards, and models (profitability, forecasting, ratio analysis, etc.).
• Assist in P&L management across the agency’s combined P&L and specific office/department P&Ls.
• Continuously assess and enhance finance tools, reporting systems, and internal policies.
• Identify and highlight opportunities for cost reduction or operational improvement within OPEX.
• Review client SOWs and staffing plans to ensure adherence to financial metrics, rate cards, and profit margins.
• Own and refine expense reimbursement and billable expense policies (Rippling Spend, Amex).
• Create and oversee internal agency budgets for T&E, office expenses, marketing investments, educational departments, and contract labor.
• Support the SVP, Finance in acting as a strategic finance partner to Talent and Resource Management, providing financial context and guidelines for hiring decisions, staffing plans, and capacity planning.
• Work closely with Resource Management to ensure scopes of work and project staffing are designed with profitability and budget integrity in mind.
• Assist the SVP, Finance with headcount planning by preparing and maintaining the financial models associated with new hires, backfills, and contract-to-hire conversions.
• Bring a financial perspective to workforce planning discussions, providing senior leadership with the necessary data and analysis to make well-informed decisions regarding growth.
• Collaborate with HR on payroll administration, including reconciling payroll journal entries, ensuring multi-state compliance, and serving as the finance point of contact for compensation-related changes and off-cycle payroll activities.
• Manage client revenue accounting throughout the entire billing lifecycle, which includes SOW review, fee staff plans, client invoicing, revenue recognition, burn rate analysis, AR follow-up, and monthly revenue pipeline reporting in collaboration with account and resource management teams.
• Bachelor’s degree in Finance or Accounting; CPA certification is advantageous.
• 7-9+ years of experience in Accounting & Finance.
• Experience in an Advertising or Media agency is essential.
• Strong understanding and application of GAAP Accounting practices.
• Ability to manage both day-to-day accounting tasks and broader FP&A responsibilities.
• Excellent proficiency in Microsoft Excel and Google Sheets.
• Experience with tools such as NetSuite, time tracking systems, and expense/reimbursement platforms.
• Proficient in Microsoft Office or Google Slides for reporting and presentations.
• Familiarity with client, procurement, and vendor management platforms like Amazon Payee Central, Ariba, Tungsten, etc.
• Skilled in presenting and explaining financial information, reports, and analyses to both finance-savvy individuals and those less familiar with finance.
• Strong oral and written communication abilities.
• Capable of working independently and managing workload and priorities effectively.
• Proactive in identifying potential issues and providing constructive solutions.
