Administrative Assistant, Real Estate

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee multiple email accounts to prioritize and address client inquiries and issues.

• Review plans and project documentation for potential problems and escalate as necessary.

• Support phone outreach efforts and direct various calls to the office appropriately.

• Collaborate with brokers to gather and confirm diligence items efficiently.

• Execute ad hoc tasks including payment processing, invoice management, and file organization.

• Manage a calendar that includes scheduling, meetings, and travel arrangements.

• Act as a liaison between employees, clients, and external partners or vendors.

• Draft and revise correspondence, communications, presentations, reports, and other documents.

• Organize meetings, establish agendas, record minutes, and prepare follow-ups and action items.

• Undertake additional ad-hoc responsibilities with minimal guidance as required.

• Assist with project management and tracking of key performance indicators (KPIs).

• Develop standard operating procedure (SOP) documents for various processes and keep them updated.

• Provide assistance with personal tasks as necessary.


⛳️ Requirements

• Minimum of 3 years of experience in an administrative role within a real estate environment.

• Exceptional verbal and written communication skills in English, suitable for C-level interactions.

• At least 2 years of experience with project management-related responsibilities and tools.

• Basic to intermediate proficiency in Excel and Google Sheets.

• Strong organizational and planning abilities with an entrepreneurial approach.

• Excellent time management skills with the ability to multitask and prioritize effectively.

• Familiarity with Slack and Zoom for internal team communication and coordination.

• Availability to work full-time in Central Standard Time (CST).
