This is a fully remote position, open to applicants in North Carolina.
• Deliver high-level administrative assistance to departmental leadership and team members.
• Oversee calendars, schedule meetings, organize training events, and manage travel arrangements.
• Create, revise, and maintain reports, presentations, records, and sensitive documents.
• Administer controlled documents, standard operating procedures (SOPs), forms, and compliance-related records.
• Gather data, conduct data quality assessments, and assist with reporting tasks.
• Handle purchase orders, reimbursements, work orders, and facility requests.
• Coordinate inventory management, equipment upkeep, vendor communications, and supply procurement.
• Monitor attendance and assist with workforce scheduling requirements.
• Keep documentation for system access and user permissions up to date.
• Offer guidance and task assistance to Administrative Assistant I and II personnel.
• Facilitate department-specific activities and special projects as assigned.
• Enhance departmental efficiency through documentation, scheduling, reporting, compliance activities, inventory management, project coordination, and cross-functional initiatives.
• High school diploma with at least 5 years of administrative support experience; or an Associate degree in Business Administration, Office Management, or a related field with 3 or more years of experience; or a Bachelor’s degree in Business Administration, Office Management, or a related field with at least 1 year of experience.
• A minimum of 1 year of relevant administrative experience in healthcare, research, finance, or other regulated sectors.
• Excellent written and verbal communication abilities.
• Strong skills in organizing and prioritizing multiple tasks.
• Capability to uphold confidentiality when managing sensitive information.
• Proactive and adept at problem-solving in administrative contexts.
• Ability to work collaboratively across teams and departments.
• A Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
• Experience in Information Technology (IT) is preferred.
