This is a fully remote position, open to applicants in Philippines.
• Maintain and organize internal records, files, and essential documentation.
• Assist with paperwork related to compliance and the preparation of reports.
• Coordinate schedules and handle general administrative correspondence.
• Prepare, review, and ensure the accuracy of service delivery logs.
• Follow up on absent or incomplete documentation to guarantee timely submission.
• Organize and file completed records for effective tracking and compliance purposes.
• Prepare and process invoices based on finalized service records.
• Monitor billing details and provide assistance with reconciliation as required.
• Maintain precise records of invoices and transaction documentation.
• Consistently monitor participant attendance records.
• Generate attendance reports and identify any discrepancies for review.
• Ensure that attendance data aligns correctly with service and billing records.
• 2–4 years of experience as a General Virtual Assistant, Administrative Assistant, or in a similar remote support position.
• Strong organizational abilities with exceptional attention to detail.
• Capability to manage recurring administrative processes accurately and consistently.
• Excellent written communication skills and professional correspondence capabilities.
• Comfortable working independently while remaining accountable to deadlines.
• Tools & Systems Experience: Google Workspace (Docs, Sheets, Drive, Calendar, Gmail) or Microsoft 365 (Excel, Outlook, Word, Teams).
• Familiarity with Asana for task management and workflow coordination.
• Experience with QuickBooks or similar invoicing/accounting platforms *(a significant advantage)*.
• Proficient with video communication tools such as Zoom, Google Meet, or similar platforms.
• Rate of $7/hour *(based on experience and qualifications)*.
