This is a fully remote position, open to applicants in Arizona, +2 more states.
• Efficiently process daily referrals sent to the organization.
• Provide the Regional Director, Clinician, and Administrative teams with thorough intake data on the same day the intake is finalized.
• Act as a resource for staff concerning intake and triage procedures.
• Assist administrative and scheduling teams in comprehending patient referrals and the associated or requested treatments.
• Contribute to the intake/triage orientation for new team members.
• Address patient and non-patient emergencies in accordance with CSD policies and procedures.
• Gather, verify, and input pertinent client and authorization details.
• Collect and enter authorization data into the EMR system, assigning CPT and ICD-9 codes as necessary.
• Follow up with funding sources to resolve any missing authorizations.
• Review assessments for clerical errors prior to submission to funding sources.
• Identify and report issues related to billing and documentation.
• Respond to inquiries from clinicians, clients, and funding sources regarding authorizations, treatment or assessment status, and services offered.
• Document interactions with clients.
• Enter referral details into referral tracking systems.
• Oversee referral processes and monitor assessment completion.
• Track urgent intakes and communicate any challenges to the Regional Director or direct supervisor.
• Develop and refine client intake and treatment systems and processes by analyzing operational practices and liaising with funding sources.
• Provide scheduling and Regional Director/Manager teams with information regarding client timelines.
• Execute additional administrative tasks as required by organizational needs.
• Associate’s degree from an accredited college or university, or equivalent of two years of college coursework.
• A minimum of 3–5 years of experience in ABA intake is required.
• Proficiency in Spanish is mandatory.
• Familiarity with CentralReach is preferred.
• Experience with CRM systems is necessary.
• Background in high-volume intake processes is required.
• Proficient in computer applications including word processing, database management, spreadsheets, and Internet software.
• Ability to communicate professionally and effectively, both verbally and in writing, with a diverse group of volunteers, staff, clients, and the public.
• Strong editing capabilities are essential.
• Capability to work independently as well as collaboratively, demonstrating initiative, prioritization, and the ability to perform multiple tasks accurately while meeting deadlines and adapting to changing priorities.
• Good judgment and decision-making skills are required.
• Must exercise confidentiality and discretion in all matters.
• Ability to interpret and apply relevant policies and procedures.
• Familiarity with the ABA field is advantageous.
• Sensitivity towards ethnically, linguistically, culturally, and economically diverse populations is essential.
