UX Operations Specialist

This is a fully remote position, open to applicants in United States.

📋 Description

• Assist in comprehensive UX workflows encompassing research, design, and analytics.

• Oversee the intake, tracking, and coordination of UX tasks among teams, including timelines, stakeholders, vendors, and resources.

• Ensure that UX activities are monitored, updated, and advancing on schedule across projects, identifying risks and dependencies as necessary.

• Promote effective communication among teams and stakeholders, including providing updates, highlighting risks, and addressing dependencies.

• Maintain and refresh tools (e.g., Jira) to guarantee visibility into UX activities, timelines, and statuses.

• Provide support for ad hoc research and operational requirements as they emerge within the UX team.

• Represent UX teams in important meetings to communicate ticket and project progress.

• Collaborate with stakeholders to clarify requirements and facilitate readiness for implementation.

• Organize project kickoffs and ensure alignment across teams.

• Maintain and enhance tools (e.g., Jira) and workflows to bolster UX operations.

• Assist in the development of standardized templates, documentation, and processes.

• Aid in preparing and supporting team status meetings (e.g., agendas, updates, tracking action items) in collaboration with UX leadership.

• Identify opportunities for improving efficiency and streamlining workflows.

• Lead the tracking of UX budgets, including tools, research, and vendor/agency expenditures.

• Coordinate with external vendors and partners regarding invoicing, timelines, deliverables, and onboarding.

• Ensure that resources are aligned with priorities and utilized effectively.

• Collaborate with PMO and cross-functional teams to synchronize timelines, dependencies, and delivery plans.

• Ensure that UX activities are integrated within broader program and project plans.

• Support coordination across multiple initiatives to uphold alignment and progress.


⛳️ Requirements

• A bachelor's degree in business operations, project management, or a related field is preferred.

• 2-3 years of experience in operations, program coordination, or UX/project support roles.

• Experience collaborating with cross-functional teams (e.g., Product, Engineering, Marketing).

• Familiarity with UX processes (design, research, testing) and digital/web environments.

• Proficiency in using tools such as Jira, Asana, Airtable, or similar for tracking and managing work.

• Strong organizational abilities with the capacity to manage multiple priorities and maintain clear workflows.

• Experience working with vendors or external partners is a plus.
