Tender / Bid Manager

This is a fully remote position, open to applicants in Germany.

📋 Description

• Locate, assess, and manage tenders/RFPs.

• Identify pertinent tenders through active and professional tender/RFP monitoring.

• Conduct initial evaluations for suitability and knockout criteria (utilizing both AI and manual methods).

• Perform thorough reviews of technical specifications, references, formal requirements, budget, and framework conditions.

• Prepare decision-making materials and oversee the go/no-go process, including documentation of the outcome.

• Lead bid projects and manage formal processing.

• Hold end-to-end responsibility for RFP handling until timely submission or professional withdrawal.

• Coordinate all stakeholders, ensuring adherence to formal criteria, version control, scheduling, compliance, and deadlines.

• Document processes, decisions, and lessons learned.

• Collaborate closely with Tech, Strategy, and Design teams to integrate subject-matter contributions.

• Transform complex information into clear, client-focused narratives in both German and English—persuasive, structured, and professional.

• Drive continuous improvement of processes, standard documentation, and templates.

• Develop and maintain a content/knowledge library to facilitate knowledge reuse.

• Assess and implement AI tools and automation (such as LLM-based drafts, workflows, and RFP tools) to significantly expedite standard responses.

⛳️ Requirements

• Experience in the web development industry or agency setting.

• Background in tender/RFP management, bid management, or similar roles (such as Account Management, Business Development, Sales/Marketing, Project Management, etc.).

• Strong organizational abilities and keen attention to detail; able to maintain composure and precision even under concurrent deadlines.

• Proficient in German and capable in English, both written and spoken.

• Technical background (e.g., Web/IT, software, platforms, with a basic understanding of architecture).

• Familiarity with HubSpot.

• High inclination towards tools and enthusiasm for early-adopter topics (such as ChatGPT/Claude, Make.com, RFP software, and automations).
