This is a fully remote position, open to applicants in California.
• Optimize workflow within the Sales Department and support Sales Representatives with quotes, sales, and services for small group and group-related products.
• Evaluate group applications in accordance with carrier guidelines.
• Follow up with Brokers and Sales Representatives regarding outstanding items.
• Assess quote requests, supervise submissions, and report quote inaccuracies.
• Assist sales teams with quotations, sales, and services for group health and ancillary products.
• Develop spreadsheets for medical and ancillary market segments.
• Process New Hire Worksheets and facilitate the Ancillary RFP Process.
• Distribute ISR proposals and executive summaries.
• Conduct beta testing of quotes and provide feedback to the IT department.
• Schedule, order, maintain, and coordinate enrollment materials.
• Reach out to brokers and clients to arrange enrollments and convey plan information to the Sales Team.
• Update quotes, generate employee worksheets, and assist with administrative tasks.
• Organize meetings with carriers, vendors, and internal teams.
• Prepare materials, kits, and quotes for regional seminars and broker events.
• Stay informed on underwriting guidelines and respond to pre-sale underwriting inquiries.
• Review new case submissions, ensure completeness, check pending items, and prioritize workflow to comply with a 24-hour underwriting turnaround time.
• Provide underwriting updates and customer service to both internal and external clients.
• Aid retention efforts by managing renewals.
• Update daily activities and client information in Salesforce and submit service tickets.
• Submit CX tickets, investigate service requests, retrieve ID cards, look up providers and medications, and verify group enrollments.
• Assist with onboarding new hires and coordinating training schedules.
• Carry out other assigned business tasks or functions.
• Fluent in English with strong communication skills.
• A minimum of 2+ years of experience in an office administrative position, sales support role, or working with group insurance plans is preferred.
• Excellent interpersonal and telephone skills.
• Capability to prioritize tasks and work independently in a dynamic environment.
• Detail-oriented mindset.
• Proficient in Microsoft Word and Excel.
• Compliance with PHI and HIPAA regulations.
• High school diploma or equivalent is required.
• CA Life & Health license is required; candidates without one must acquire it within three months of hiring.
• Ability to remain seated for extended periods, with occasional standing and walking.
• Sufficient hearing capabilities for phone communication.
• Close vision with the ability to adjust focus.
• Effective communication skills in English.
• Proficient in using a keyboard and other office equipment.
• Ability to lift up to 10 pounds occasionally.
