This is a fully remote position, open to applicants in Canada.
• Oversee shipment-related communications and pinpoint items that need follow-up, escalation, or clarification.
• Alert the Project Administrator and Director regarding any delayed, stalled, or at-risk shipments.
• Inform the Project Administrator and Director upon the delivery of key shipments or receipt of delivery confirmation.
• Assist in the preparation of shipment documentation, which includes FedEx labels, commercial invoices, packing lists, and relevant customs/shipping paperwork.
• Monitor order status from placement through to delivery, including following up on any delays or missing updates.
• Keep daily inventory records updated and ensure they are accurate and current.
• Observe inventory levels and flag items that are low or may need replenishment.
• Facilitate communication with local partners regarding shipment status, documentation, and delivery updates.
• Assist in coordinating team travel logistics, including trip planning, schedules, accommodations, transportation, and related tasks.
• Support general project coordination as needed, particularly in areas related to logistics, procurement, inventory, and team travel.
• Outstanding communication, independence, and problem-solving skills.
• Strong time management and organizational abilities.
• Proficient in Microsoft Office Suite (or similar office software, e.g., Google Docs/Sheets).
• Education: Bachelor’s degree in business communication, administration, or a related field.
• Asset: Familiarity with task management software (such as Jira, ClickUp, Notion, MS Project, etc.), including creating custom tasks, dashboards, and Gantt charts.
• Asset: Experience in a start-up or start-up-like environment.
• Flexible working hours and location. The FRO is goal-oriented, with most team members working remotely and occasional in-person team meetings. For local employees, office space is available at the NRC Herzberg Astronomy & Astrophysics Research Centre in Victoria, BC, Canada, or office space can be provided for employees in Calgary, AB, Canada.
• Competitive salary: $60-75k USD per year (salary based on experience and adjusted for locations outside of San Francisco).
