This is a fully remote position, open to applicants in Texas.
• Establishing a responsive, concierge-level support environment
• Anticipating patient needs and addressing them proactively
• Scheduling patient appointments and coordinating lab draws with accuracy
• Sending customized reminders and clear guidelines
• Resolving patient concerns swiftly and thoroughly
• Identifying and removing potential friction points
• Collaborating with Executive Assistants for seamless scheduling
• Managing lab orders and diligently tracking test outcomes
• Streamlining workflows that help physicians and APPs stay organized
• Keeping patient charts meticulously updated in real-time
• Detecting and correcting documentation inaccuracies
• Uploading and organizing patient documents and results
• Ensuring crucial information reaches the appropriate team members on time
• Fostering trusted relationships with valued consultants and referral sources
• Making referrals and ensuring all details are attended to
• Navigating external healthcare systems on behalf of patients
• Coordinating specialized testing with meticulous attention to detail
• Creating seamless transitions between Early Medical and external providers
• Identifying opportunities for process and workflow enhancements
• Addressing gaps and proposing innovative solutions
• Assisting colleagues during peak periods
• Contributing insights to initiatives aimed at process improvement
• Developing systems that benefit the entire clinical team.
• Bachelor's degree or higher is preferred.
• Over 5 years of experience in coordinating patient care within a healthcare setting (primary care/internal medicine/concierge medicine/membership-based clinic preferred), demonstrating exceptional service delivery and advanced administrative skills.
• Proven experience supporting executives, physicians, advanced practice providers, or other senior professionals in a dynamic, high-touch environment.
• Experience managing multiple complex workflows simultaneously while ensuring exceptional attention to detail and follow-through.
• Background in concierge, executive, membership-based, or high-touch healthcare practices.
• Experience in coordinating specialty referrals, laboratory testing, prior authorizations, or intricate longitudinal care plans.
• Demonstrated ability to prioritize competing demands, adapt swiftly to changing priorities, and consistently produce high-quality work under pressure.
• Proficient in Microsoft Office Suite, Adobe Acrobat, Electronic Medical Record (EMR) systems, and Customer Relationship Management (CRM) platforms.
• Comfortable learning new technologies and navigating multiple systems throughout the workday.
• Familiarity with telemedicine or virtual care delivery models.
• Experience working in a fully remote or distributed environment, showcasing strong self-management, written communication, and digital collaboration skills.
• Genuine enthusiasm for preventive medicine, longevity, health optimization, and Early Medical's mission. Familiarity with Dr. Peter Attia's work and the principles of Medicine 3.0 is strongly preferred.
