This is a fully remote position, open to applicants anywhere in the world.
• Organize and manage digital files, records, and documentation systems.
• Transfer and accurately categorize files from Fiverr, Google Drive, and other platforms into organized filing systems.
• Arrange Fiverr receipts, downloads, invoices, and project documentation for bookkeeping and recordkeeping purposes.
• Assist in establishing and maintaining efficient tracking systems for business expenses, products, and operational records.
• Enhance workflow efficiency and document accessibility utilizing AI-powered tools when appropriate.
• Maintain structured cloud-based filing systems and ensure files are current and easily accessible.
• Aid in creating, scheduling, and organizing social media content.
• Help uphold a consistent online presence across various social platforms.
• Conduct basic SEO evaluations and suggest enhancements for website visibility and content optimization.
• Organize and oversee digital marketing materials and assets.
• Support ongoing efforts to maintain content organization and branding consistency.
• Research relevant grant opportunities and Requests for Proposals (RFPs).
• Assist in preparing and completing grant applications and proposal documentation.
• Track submission deadlines, requirements, and necessary supporting documentation.
• Organize application materials and maintain records for ongoing submissions and opportunities.
• Provide administrative support concerning proposal and grant submission processes.
• Assist with task tracking, follow-ups, and operational coordination.
• Support the ongoing organization of business-related projects and workflows.
• Maintain professionalism and confidentiality when managing sensitive information.
• Offer additional administrative assistance as required.
• 1–3+ years of experience as a Virtual Assistant, Administrative Assistant, or in a similar remote support role is preferred.
• Strong organizational abilities and experience with managing digital filing systems.
• Experience utilizing AI tools for productivity, workflow management, or organization is highly desirable.
• Proficiency in Google Workspace and cloud-based document systems is required.
• Basic knowledge of SEO and social media management practices.
• Experience in supporting grant applications, RFPs, or proposal writing is a significant advantage.
• Excellent written and verbal communication skills in English.
• Strong attention to detail and capability to handle confidential information professionally.
• Ability to work independently and prioritize tasks effectively.
