This is a fully remote position, open to applicants in Philippines.
• Collaborate closely with advisors to gather adequate information for creating meaningful agent assignments and connections for outgoing referrals.
• Process outbound referrals within 2 hours of receiving client information from the advisor.
• Ensure that international referrals receive follow-up within 24 hours of placement with affiliate companies to maintain connectivity.
• Utilize the company calendar for follow-ups, including but not limited to international referrals, while adhering to referral placement timelines.
• Develop and manage fully-executed Referral Fee Agreements.
• Perform weekly and monthly follow-ups for each referral and provide updates to agents.
• Oversee the collection of payments for pending transactions.
• Establish broker files for each pending transaction.
• Ensure that the correct referral fees are processed by our accounting team promptly and that referring agents receive their payments accurately.
• Participate in SIR Open House Zoom meetings.
• Join regular networking Zoom meetings with other SIR referral coordinators.
• Create departmental files for incoming referral leads from selected online referral programs (e.g., HomeStory, RocketHomes, Opcity).
• Remind agents on a weekly or semi-monthly basis to update their leads in the lead program portals, offering assistance with the update entry if required.
• Ensure accurate and timely payment of referral fees by our accounting team and that the referral programs are compensated correctly.
• Upload Relo breakdown, W9, and RFAs to transaction files for these leads.
• Assign rental tours and assistance tasks from Porchlight to selected agents within our Porchlight rental group.
• Create and submit invoices to Porchlight for completed rental tours.
• Establish broker files for Porchlight rental tours.
• Foster meaningful relationships with other departments to enhance synergy within PSIR (e.g., Accounting, Broker of Record, Sales Managers).
• Attend weekly team meetings, monthly sales meetings, and regular Company Collaborations, either in person or via Zoom when schedule allows.
• Bachelor’s degree in Marketing, Business Administration, or a related field.
• 1-3 years of experience in Administrative, Customer Service, Data Entry, Administrative Assistant roles, or similar positions.
• Ability to learn company-specific systems effectively.
• Comprehensive understanding of office management systems and procedures.
• Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
• Proficient in Google Suite (Google Sheets, Gmail, etc.).
