This is a fully remote position, open to applicants in Oregon.
• Manages the complete billing cycle for 10 to 15 attorneys, acting as their reliable resource for invoicing.
• Responsible for the prompt submission of electronic invoices and accruals to clients on a monthly basis.
• Oversees the transition of clients to e-billing, providing ongoing support to attorneys and clients in all aspects related to electronic billing.
• Handles a substantial volume of highly complex e-submission tasks for key corporate clients, ensuring compliance with all client guidelines, internal protocols, and the firm's standards during the submission process.
• Serves as a liaison between billing attorneys, secretarial staff, and clients' personnel assigned to electronic billing by offering expert subject matter support.
• Gathers, maintains, and updates data for assigned clients in the billing system and clients' external web applications, ensuring all relevant information is accurate and aligned in the firm's billing system.
• Executes accruals, budgets, and responds to information and data requests.
• Collaborates with the department supervisor to support e-billing systems by managing user accounts, resetting passwords, entering budgets, status reports, and matter profiles in various sub-systems.
• Conducts ad hoc analyses of complex client accounts, focusing on collections, rates, and reduced or rejected invoices.
• Oversees time and absence management for direct reports, ensuring system accuracy and adherence to timekeeping policies and procedures.
• Communicates with direct reports, management, and clients regarding job or deadline concerns.
• Proactively escalates operational issues or challenges to the Supervisor or Manager.
• Trains new employees on policies and procedures.
• An associate’s or bachelor’s degree is preferred, with a concentration in Business, Accounting, or Finance.
• A minimum of four years of billing experience in a law firm or professional organization is required.
• Strong analytical and critical thinking abilities are essential.
• Experience in leading employees in areas of process and policy compliance as well as time and absence tracking.
• Proven ability to curate workflow in an organized fashion to meet rapidly occurring and simultaneous deadlines.
• Strong computer skills and problem-solving capabilities are required.
• Familiarity with the procedures, software, and equipment related to e-billing.
• Ability to build and maintain effective working relationships with clients and team members through excellent professional verbal and written communication skills.
• Attention to detail with a strong emphasis on accuracy and quality.
• Capability to handle sensitive and/or confidential documents and information.
• Must be able to interact effectively with individuals from multi-functional and diverse backgrounds in a fast-paced team environment.
