This is a fully remote position, open to applicants in Singapore.

📋 Description

• Prepare, format, and oversee legal documents, contracts, and correspondence.

• Organize and maintain legal files, records, and document management systems.

• Assist in drafting basic legal documents and templates.

• Conduct fundamental legal research when necessary.

• Manage incoming and outgoing client calls using VXT or comparable systems.

• Ensure all calls, messages, and client inquiries are addressed promptly.

• Uphold a high standard of client service, guaranteeing same-day responses to all client communications.

• Coordinate call notes, updates, and follow-ups with the legal team.

• Escalate urgent issues to lawyers as needed.

• Manage emails, calendars, and meeting scheduling.

• Handle client communications, including follow-ups and status updates.

• Track case progress to ensure deadlines are met.

• Liaise with lawyers, clients, and third parties.

• Assist with onboarding new clients and setting up files.

• Perform general administrative tasks to support the legal team.

• Aid in billing coordination, invoicing, and documentation.

• Ensure compliance with internal processes and legal procedures.


⛳️ Requirements

• 1–3+ years of experience in legal administration or a related role.

• Proven experience in managing client calls and communications in a professional manner.

• Strong organizational and multitasking abilities.

• Exceptional written and verbal communication skills.

• Keen attention to detail and high responsiveness.

• Capability to work independently in a remote setting.

• Nice to Have:

• Experience with VXT or similar VoIP/call management systems.

• Background in conveyancing, family law, or immigration law.

• Familiarity with legal/CRM systems such as Clio, LEAP, or Smokeball.

• Exposure to Australian or UK legal processes.
