This is a fully remote position, open to applicants in United States.
• Provide consulting, research, analysis, and transition planning for healthcare FF&E projects.
• Assist in creating detailed inventories, procurement plans, budgets, layout drawings, and equipment utilization.
• Develop and maintain comprehensive master and departmental transition schedules that align with project and construction timelines.
• Identify project timelines, milestones, and critical paths, while coordinating resource allocation for smooth user transitions.
• Create detailed plans for moves, implementation schedules, “To/From” worksheets, and sequencing documents during both design and construction phases.
• Participate in space planning and FF&E reviews alongside users and the design-build team.
• Conduct planning and implementation meetings (e.g., 90-day onsite, 60-day virtual, and pre-move briefings).
• Act as a liaison among equipment planners, users, facility personnel, and government representatives.
• Prepare and distribute meeting agendas and minutes for all activities related to transitions.
• Oversee and coordinate all FF&E-related vendor moves, including artwork and specialty items.
• Manage on-site moving activities, which include bid preparation support, vendor evaluation, and selection.
• Supervise storage and warehousing logistics for equipment deliveries while ensuring documentation compliance.
• Handle DRMO/DLA processes and documentation (e.g., 1348-1A, 601 forms) in collaboration with warehouse staff, Med Group BMET, MEMO, and logistics teams.
• Ensure timely generation and maintenance of DMLSS lists, PRCL updates, door sheets, punch lists, and equipment tracking logs.
• Maintain and update project tracking tools, such as Audaxware, for adjustments in inventory and scheduling.
• Assist in preparing all submittals, including documentation related to warehousing, security, training, testing/certification, and inspections.
• Create training materials for staff, including orientation agendas, PowerPoint presentations, and 'Day in the Life' documentation.
• Oversee and coordinate on-site installations, ensuring adherence to design specifications.
• Supervise IO Carpenter installations and verify that spaces are configured according to equipment drawings.
• Support space readiness, including minor cleaning and organization as necessary prior to final transitions.
• Manage the resolution of punch lists, including coordinating with vendors for incomplete items.
• Facilitate internal communication and distribute project-related materials, signs, and flyers.
• Coordinate ribbon-cutting and other public-facing project events as required.
• Manage base and facility access for project personnel and vendors.
• Organize all facility and government inspections, walkthroughs, and schedule confirmations.
• Perform clerical and administrative tasks such as scanning, filing, mailing, and coordinating travel.
• Assist project superintendents and field staff with communication and coordination across teams and vendors.
• Update and maintain the FF&E/LVS installation schedule in partnership with project stakeholders.
• Aid in the preparation of close-out documents, including DD250, DD1354, BMET packages, and other final deliverables.
• Schedule and facilitate meetings with BMET, MEMO, logistics, IMIT, housekeeping, and other key stakeholders.
• Support additional tasks as assigned by project leadership to ensure the success of the project.
• Preferred experience in healthcare facility transition planning or a related field.
• Strong organizational and communication skills, with the ability to coordinate complex logistics and timelines.
• Proficiency in Microsoft Office Suite; experience with Audaxware or similar FF&E/transition planning software is advantageous.
• Capability to manage various stakeholders, vendors, and tasks in a dynamic environment.
• Familiarity with military or federal healthcare systems and documentation (e.g., DD forms) is desirable.
• Willingness to travel and be present onsite during critical project phases.
• Indian Preference Exercised: Prairie Band, LLC is subject to Title 22: Employment Code of the Prairie Band Potawatomi Nation.
• In accordance with Title 22, this position is classified as a TIER 2 position.
