
Intake Durable Medical Equipment Specialist

This is a fully remote position, open to applicants in South Dakota.
• Serve as the initial point of contact for patients, referral sources, and clinicians to facilitate the ordering and delivery of durable medical equipment, supplies, and services.
• Accurately and promptly process patient information to enhance satisfaction and optimize revenue.
• Receive inquiries and orders via telephone, fax, and email.
• Collect necessary documentation as per payer requirements, standard operating procedures, and compliance programs.
• Inform clinical staff and referral sources about documentation deficiencies.
• Request any missing documentation via email, in-basket messaging, phone calls, or other agreed-upon communication methods.
• Address customer concerns, questions, and complaints regarding sales orders or escalate complaints to Equip clinical staff.
• Anticipate patient needs and efficiently complete intake for equipment setup or supply delivery.
• Create new patient accounts and input demographic, physician, and insurance details.
• Obtain medical records, verify insurance, log prior authorizations and prescriptions, and initiate ABNs when necessary.
• Document intake information in the Equip patient account.
• Notify clinical staff once intake is finalized and the patient is ready for setup.
• Maintain a thorough understanding of billing, documentation, and reimbursement guidelines for Medicare, Medicaid, third-party, and contracted payers.
• Schedule patient appointments and conduct follow-up calls based on department assignments.
• Complete tasks with minimal supervision and exercise independent judgment.
• Carry out other duties as assigned by management.
• High school diploma or equivalent.
• Strong understanding of computer functionalities.
• Basic proficiency in Microsoft Office applications.
• Detail-oriented mindset.
• Excellent documentation abilities.
• Capability to follow tasks through to completion.
• Basic knowledge of the medical field.
• Previous experience in home medical equipment is advantageous.
• Salary range of $16.00 - $25.50 per hour.
• Full-time schedule with 40 scheduled weekly hours.
