• Team Leadership: Oversee, mentor, and develop a payroll team located in the Philippines. This role involves creating a high-performance function from the ground up, with hiring, structuring, and coaching as key components.
• End-to-End Payroll Oversight: Administer the complete payroll lifecycle across more than 15 US states, acting as the final escalation point for intricate tax and systems issues.
• Multi-State Tax Compliance: Direct the withholding, filing, and reconciliation processes across all state jurisdictions, including SUTA/FUTA, FICA, and local tax nexus management.
• Payroll Systems Ownership: Function as the Subject Matter Expert for ADP Workforce Now (or a similar platform), ensuring system integrity, integration, and ongoing optimization.
• Tax Registration & Filings: Oversee the registration of new state tax IDs and manage all compliance responsibilities across an expanding US footprint.
• Audit & Notice Management: Lead the responses to all federal and state tax notices, garnishments, and year-end reconciliations, including W-2/W-3 processing.
• Executive Reporting: Provide accurate and timely payroll and compliance reports to the C-suite, which includes details on 401(k) contributions, audit status, and trend analysis.
• Process Improvement: Facilitate the transition from manual, reactive payroll processing to automated, scalable, and audit-ready operations.
• Over 8 years of experience in US multi-state payroll, with a minimum of 3 years in a leadership role.
• Proven experience in building, structuring, or scaling a payroll team based in the Philippines.
• Extensive knowledge of US multi-state tax compliance (SUTA/FUTA, FICA, W-2/W-3, state nexus) — multi-state experience is essential.
• Advanced proficiency in Excel: Pivot Tables, VLOOKUPs, Macros, Power Query, and large dataset modeling.
• Excellent written and verbal communication skills in English, with the ability to simplify complex tax topics for US-based stakeholders.
• Bachelor’s degree in Accounting, Finance, or a related field.
• Willingness and commitment to work from 10:00 PM to 7:00 AM PHST to align with US Eastern/Central business hours.
