This is a fully remote position, open to applicants in Colombia.
• Monitor and propel progress regarding CEO priorities and significant business initiatives.
• Maintain a comprehensive overview of decisions, follow-ups, risks, and obstacles.
• Identify any gaps or delays and propose solutions for escalation.
• Ensure alignment among internal teams, timelines, and deliverables.
• Lead and advance selected internal projects from inception to completion.
• Manage the CEO's calendar, inbox, and scheduling priorities.
• Prepare meeting agendas, briefing documents, and summaries within 24 hours following meetings.
• Serve as the intermediary between the CEO and internal teams across operations, finance, legal, client projects, and content.
• Track key decisions, approvals, and pending deliverables across all workstreams.
• Coordinate travel and high-priority logistics in line with CEO priorities.
• Oversee studio scheduling and collaborate with operations as required.
• Maintain daily, weekly, and monthly workflows.
• Monitor outstanding items related to contracts, payments, hiring, CRM, and projects.
• Update and maintain SOPs, workflows, and internal documentation.
• Manage and enhance the agency’s technology ecosystem, including Google Workspace, project management tools, and automation platforms.
• Conduct quarterly system audits and resolve technical issues.
• Organize personal scheduling and logistics to support CEO effectiveness.
• Coordinate key appointments, travel, and personal priorities.
• Assist in financial organization and administrative tracking.
• Address ad hoc requests that support business and personal priorities.
• 2–4 years of experience in executive support, business development, operations, or a related field.
• Outstanding organizational skills with a keen attention to detail and follow-through.
• Strong business acumen and the ability to comprehend client and agency needs.
• Excellent written and verbal communication abilities.
• Proactive, solutions-driven mindset with the capacity to anticipate needs.
• Comfortable working autonomously in a dynamic, fast-paced environment.
• High degree of discretion, professionalism, and emotional intelligence.
• Strong technical skills in Google Workspace, CRM systems, and project management tools.
• Residing in Colombia.
• Reliable remote setup to support real-time collaboration with a U.S.-based CEO.
• Fluent in English with polished written and verbal communication skills.
