This is a fully remote position, open to applicants in Mexico.
• Partner Communications: Attend weekly partner meetings, take detailed notes, and provide a comprehensive summary to the broader team.
• Inbox Management: Maintain an organized inbox and prioritize emails daily, transforming action items into tasks while minimizing email clutter.
• Calendar & Time Coordination: Arrange meetings according to team standards and assist in tracking time using Toggl.
• ClickUp & Project Support: Oversee and personalize onboarding checklists for new hires and contractors, ensuring tasks are systematically organized in ClickUp.
• Compliance & Documentation Support: Aid in the completion of annual compliance and recertification documentation.
• Team Integration: Actively engage as a trusted member on Slack, fostering strong working relationships throughout the team.
• General Administrative Support: Provide assistance with various administrative tasks, including filing and organization as required.
• A minimum of 2 years of experience as an Executive Assistant or in a comparable administrative or operations support role.
• Exceptional written communication abilities, capable of distilling meeting discussions into clear, concise, high-level summaries suitable for wider team dissemination.
• Strong discretion and judgment in managing sensitive or confidential business and personnel information.
• Proficient in taking detailed notes during live meetings and converting them into organized action items, decisions, and responsible parties.
• Experience in managing or organizing a busy email inbox, including triage systems, labeling, and folder management.
• Familiarity with best practices in calendar management (including meeting titles, descriptions, and time-block conventions).
• Working knowledge of ClickUp, or a strong ability to swiftly learn new project management platforms.
• Comfortable using Slack as the primary communication tool, primarily within the client's public channels.
• Highly organized, proactive, and self-motivated, with the ability to work independently in a remote setting.
• Experience in creating or replicating checklists/templates and assigning tasks to multiple stakeholders.
• Research skills and ease in navigating government or compliance-related web portals.
• Basic familiarity with time-tracking tools (e.g., Toggl) is an advantage.
