This is a fully remote position, open to applicants in United States.
• Oversee and update tasks within the project management platform, ensuring that timelines and deliverables remain on schedule.
• Keep precise documentation across all event workstreams.
• Assist with tracking and reporting on registrations.
• Provide administrative support for communications with speakers.
• Help with outreach, scheduling, and the collection of speaker release forms.
• Maintain and refresh the master run of show with all pertinent event details.
• Ensure stakeholder alignment regarding timing and programming.
• Regularly update the event budget document.
• Monitor expenses and report any discrepancies as necessary.
• Compile and relay daily website updates to the Engineering team.
• Confirm that event information is accurate and up-to-date.
• Coordinate with the venue and external vendors to facilitate logistics and execution.
• Assist with contract deliverables and daily coordination tasks.
• Aid in logistics planning.
• Support design and decor production efforts.
• Assist with audio/visual production.
• Aid in the setup and administration of registration.
• Oversee room management and session logistics.
• Manage the main session room run of show and ensure proper A/V execution.
• A minimum of 3 years of experience in event coordination or event management, specifically in conferences or corporate events.
• Strong organizational and project management abilities with a keen eye for detail.
• Familiarity with tools such as Asana, Salesforce, and various event registration platforms.
• Exceptional written and verbal communication skills.
• Capability to handle multiple priorities in a dynamic environment.
• Experience in supporting the execution of live, in-person events, including A/V coordination.
