This is a fully remote position, open to applicants in Arizona, +4 more states.
• Oversee daily chargeback, cash application, and adjustment activities managed by a team of 4–7 analysts.
• Supervise the analysis and resolution of intricate payment discrepancies, pricing differences, contractual concerns, and overdue receivables.
• Guarantee the precise application of cash and adjustments in alignment with audit controls, contractual agreements, and internal policies.
• Prepare and evaluate month-end reports, ad hoc analyses, and summaries for management review.
• Track team performance, productivity, and operational metrics; pinpoint risks and initiate corrective measures.
• Directly manage, mentor, and develop analysts, focusing on performance management, task prioritization, and skill enhancement.
• Act as the primary escalation point for challenging chargeback and accounts receivable matters.
• Collaborate with the Senior Manager on workload planning, team growth, and operational focus areas.
• Deliver operational updates and escalation insights to the Director.
• Serve as a liaison between Chargeback Operations, Finance, Pricing, and external vendors to address disputes and systemic challenges.
• Establish and sustain business reviews and interaction points with key vendors.
• Prepare data, insights, and discussion materials for vendor meetings.
• Monitor vendor performance trends, recurring issues, and necessary follow-up actions.
• Collaborate with stakeholders on vendor strategies, risk factors, and opportunities for enhancement.
• Lead initiatives aimed at process efficiency, data cleanup, and operational enhancements.
• Identify gaps in workflows, controls, and data quality, and propose sustainable solutions.
• Implement process or system improvements in collaboration with cross-functional teams.
• Document processes, controls, and best practices comprehensively.
• Assist in testing, validation, and adoption of system improvements or procedural changes.
• Ensure adherence to audit requirements, internal controls, and vendor-specific deadlines.
• Contribute to identifying and mitigating risks associated with chargeback processing and vendor performance.
• Provide data-driven insights to support prioritization and decision-making.
• Over 5 years of experience in chargebacks, accounts receivable, cash application, or adjustments in a B2B manufacturing or distribution setting.
• Comprehensive understanding of supplier contracts, chargeback procedures, audit controls, and operational governance.
• Proven experience in leading or managing teams, encompassing coaching, performance management, and task prioritization.
• Advanced skills in Microsoft Excel, including complex formulas, pivot tables, and data analysis methods.
• Practical experience with ERP systems; proficiency in SAP and/or Oracle is required.
• Strong problem-solving abilities and capacity to independently resolve issues and manage cross-functional escalations.
• Exceptional verbal and written communication capabilities.
• Ability to engage effectively with vendors, leadership, and cross-functional partners.
• Competence in managing multiple priorities, assessing team performance, and adhering to vendor-specific deadlines.
• Experience in preparing management updates and operational summaries for senior leadership is preferred.
• High school diploma or equivalent is required.
• An Associate’s degree or higher is preferred.
• For remote work, a cable broadband or fiber optic internet connection with at least 10 Mbps download and 5 Mbps upload speed is necessary.
