This is a fully remote position, open to applicants in Poland.
• Oversee and enhance administrative processes related to contracts and services.
• Ensure documentation is accurate, compliant, and reported in a timely manner.
• Provide administrative and secretarial assistance to local office teams.
• Facilitate facilities coordination and serve as a liaison for infrastructure and communication requirements.
• Assist with administrative needs specific to France (e.g., BPF preparation, accreditation support).
• Prepare requested financial and statistical data.
• Contribute to local forecasting efforts.
• Manage invoicing aspects, documentation uploads, and compliance files related to training.
• Support declarations related to French taxes (e.g., VAT, social contributions).
• Assist local and central accounting teams with reconciliations and inquiries.
• Aid in the preparation of Conventions de Formation for clients based in France.
• Assist with HR documentation, declarations, onboarding, and offboarding processes.
• Manage vetting procedures and documentation for local employee costs.
• Coordinate logistics for training, sales administration, and communication with French training funds (OPCOs).
• Maintain administrative relationships with OPCOs as needed.
• Must possess a degree or equivalent qualification.
• Prior hands-on experience in administration, back office, or accounting is required.
• Proficiency in both French and English is a must.
• Strong organizational abilities and the capacity to handle multiple tasks simultaneously.
• Proficient in Microsoft Office, with advanced skills in Excel.
• Excellent communication skills coupled with a customer-focused approach.
• Capable of working independently in a dynamic, international environment.
• Experience in international firms, HR/payroll, training administration, French funding systems, or ERP tools (Oracle preferred).
