This is a fully remote position, open to applicants in Texas.
• Conduct reviews and audits of contract files along with associated procurement documentation to ensure precision, completeness, and adherence to compliance standards.
• Confirm the validity of contract records and supporting materials to guarantee that all necessary documents are properly preserved.
• Systematically organize, update, and oversee both electronic and physical contract files and repositories.
• Aid in the administration of the contract lifecycle, which includes contract execution, amendments, renewals, and closure activities.
• Assist with compliance reviews, internal audits, and evaluations of documentation.
• Track the status of contracts, key dates, deliverables, and renewal timelines.
• Investigate and rectify discrepancies in contract documentation and address missing information.
• Work collaboratively with procurement, legal, finance, and departmental stakeholders to gather and confirm necessary documentation.
• Generate reports, summaries, and status updates pertaining to contract administration activities.
• Ensure compliance with institutional procurement policies, procedures, and regulatory standards.
• Uphold the confidentiality of sensitive contract and procurement information.
• Offer general administrative and analytical assistance to the Contract Administration team.
• Mid-level experience in procurement contract administration, contract management, purchasing, or a related discipline.
• Proven experience in reviewing, auditing, and managing contract documentation.
• Comprehensive knowledge of contract administration processes and record management practices.
• Exceptional organizational skills and a keen eye for detail.
• Capacity to analyze documents and pinpoint inconsistencies, missing information, or compliance concerns.
• Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
• Strong skills in both written and verbal communication.
• Ability to juggle multiple priorities and work autonomously in a deadline-oriented environment.
• Experience in higher education, public sector, or a regulated environment.
• Acquaintance with procurement policies, compliance mandates, and contract management systems.
