This is a fully remote position, open to applicants in United States.
• Oversee the entire Operations, Occupancy, and Facility Vacancy Planning process and its execution for clinical and technical areas.
• Ensure accountability for all transition planning requirements, including multiple plans, scheduling, and oversight of the transition plan execution.
• Provide consistency and support in the development and implementation of end-state operations within the new facility.
• Monitor adherence to contracts during the transition planning phase.
• Prepare and submit monthly project reports to the Project Manager for inclusion in the comprehensive monthly report.
• Act as the primary point of contact for activities related to the transition.
• Assist in identifying and addressing operational issues (facility/design/construction) that affect end-state operations for technical areas.
• Responsible for tracking various factors in the transition database, such as staff and location mapping, document tracking and development, movement coordination and space planning, as well as legal and regulatory issues.
• Collect data on all clinical and technical divisions and compile it into a report with recommendations and plans for documentation and work process planning for the transition and movement.
• Support departments in drafting plans for future work processes based on findings from the initial report and comparisons with facility-wide reports generated by transition team members.
• Aid departments in developing training plans and exercises, assisting divisional staff with their assigned responsibilities, including preparation, review, presentation, and finalization of their division's System/Process assumptions, Concept of Operations (CONOPs), and integration into Facility-Wide Programs and education and orientation programs, as well as Continuum of Operations migration, start-up plans, post-occupancy evaluations, and lessons learned reports.
• Engage in and assist with identifying, discussing, and resolving issues.
• Facilitate and coordinate standardization efforts.
• Develop Move Plans.
• Create Occupancy Plans.
• Track legal and regulatory issues relevant to their areas.
• Identify and monitor vacancy activities and tasks.
• Facilitate project meetings involving the Contracting Officer, Owner, Owner Representative, Design team, Vendors, and others.
• Bachelor’s or Master’s Degree.
• 5-7 years of experience in Project Management or Transition Planning, ideally in a healthcare, DoD, or Federal environment.
• Proficient in Microsoft Office.
• Excellent verbal and written communication skills.
• Strong coordination skills required for vendor scheduling.
• Flexible and willing to work extended hours, including weekends, holidays, and evenings as necessary.
• Ability to work independently on tasks, as well as collaboratively as a member of the Project Delivery Team (PDT).
• Capable of creating project schedules using MS Project.
• Able to provide guidance and direction to subcontractors and other vendors as needed.
• Skilled at quickly resolving onsite project issues during the transition phase.
