This is a fully remote position, open to applicants in California, +1 more state.
• The Clinical Education Associate undertakes various administrative tasks to assist the Clinical Education Department in achieving its objective of providing a successful clinical education experience through the effective and timely selection and placement of student internships, facilitating the transition from classroom to graduation.
• Ensures that all necessary student documentation is both accurate and up-to-date, including health and admission prerequisites.
• Collaborates directly with central functions, faculty, and students to uphold precise clinical site requirements.
• Participates in campus meetings to clarify and disseminate essential materials to students as a follow-up to orientation.
• Informs students about their primary point of contact during their enrollment; addresses questions and clarifies specific requirements for clinical sites and the placement process.
• Composes letters, memos, and other forms of communication for both internal and external audiences.
• Works closely with faculty and students to ensure positive clinical experiences; identifies any student issues and addresses them in a polite, accurate, and timely manner.
• Collaborates directly with clinical education faculty to guarantee successful student clinical experiences.
• Maintains accurate student and site data in CORE and Salesforce.
• Develops and nurtures effective working relationships with clinical site personnel to facilitate student placements; keeps contact with sites to gather information regarding internship opportunities.
• Communicates, coordinates, and confirms with clinical sites regarding internship availability and student placements through email and phone in a timely and professional manner.
• Maintains accurate and confidential student clinical education files in compliance with University, FERPA, and HIPAA regulations.
• Responds to inquiries and questions from site affiliates; addresses concerns courteously, accurately, and in a timely manner.
• Performs duties that align with the University’s core values.
• Maintains databases like CORE/Salesforce as required for all programs.
• Generates and delivers reports as requested by the department head to faculty for the purpose of student placement.
• Proactively and strategically seeks placement opportunities from clinical partners.
• Adheres to and upholds departmental processes and policies regarding the placement process.
• Promotes collaboration and the One University model.
• High school diploma; an undergraduate degree in healthcare or business is preferred.
• 1-2 years of administrative/customer service experience is required, ideally in post-secondary education or healthcare.
• Experience with database management is essential.
• Accurate data entry skills are a must.
• Strong interpersonal skills, including effective verbal and written communication abilities.
• Capability to work accurately in a highly dynamic environment.
• Ability to manage multiple tasks and prioritize effectively to meet tight deadlines.
• Demonstrates patience and a positive attitude in fostering a supportive learning environment.
• Must be able to work collaboratively as part of a team and interact effectively with colleagues, administrators, faculty members, students, and external stakeholders.
• Familiarity with the needs of students and a diverse student population is important.
• Proficiency in the Microsoft Office suite and Salesforce is required.
• Work involves operating personal computer equipment for six to eight hours each day.
