This is a fully remote position, open to applicants in United States.
• Act as the main point of contact for daily administration of the Kantata system across designated accounts.
• Ensure the accuracy and integrity of data related to assigned projects.
• Maintain a thorough understanding of NetSuite in relation to Kantata functionalities.
• Collaborate with Client Project Leads to keep project information up to date, including project values, invoicing schedules, and resource allocations.
• Work with Finance Operations for the setup and modification of Sales Orders.
• Participate in internal status meetings and make necessary updates to the systems.
• Notify Client Project Leads when billing volumes are at risk of exceeding deliverables or tasks.
• Review monthly out-of-pocket expenses on completed client invoices and update the system accordingly.
• Monitor Kantata for possible client overservice situations and communicate important details for action planning.
• Schedule and attend monthly EAC meetings and ensure updates in Kantata align with closing deadlines.
• Capture and implement month-end changes across assigned projects.
• Assist in business planning preparation by gathering necessary information.
• Confirm the completion of tasks, billing milestones, and pass-through cost line items.
• Mark projects as “Complete” and coordinate with Financial Operations on post-completion audits and archiving.
• A Bachelor’s degree is required.
• Minimum of 2 years of experience in project administration or coordination, business or financial operational support, or ERP/PSA system administration.
• Familiarity with Kantata or comparable systems such as FinancialForce or Workday PSA.
• Preferred hands-on experience in managing project budgets, hours, and expenses.
• Preferred experience in coordinating activities among various stakeholders.
• Experience in implementing best practices for data accuracy and reporting.
• Background in the Med Comm industry.
• Strong financial acumen.
• Keen attention to detail.
• Capability to multitask and work collaboratively with internal teams.
• Excellent oral and written communication skills.
• Must be available to work during EST hours.
