This is a fully remote position, open to applicants in Philippines.
• Oversee incoming inquiries for charter services through phone, email, and various communication platforms.
• Timely and accurately prepare, issue, and follow up on quotes for charter bookings.
• Coordinate and arrange charter bookings, ensuring all details are confirmed and accurately documented.
• Communicate with customers about availability, pricing, booking conditions, service inclusions, and general charter details.
• Maintain precise booking schedules, calendars, and internal systems to facilitate seamless operational planning.
• Collaborate with internal teams, drivers, operators, or service personnel to verify schedules and booking requirements.
• Handle booking confirmations, changes, cancellations, and associated administrative tasks.
• Ensure that all customer information, booking specifics, and supporting documentation are accurately recorded and organized.
• Monitor booking pipelines and follow up on pending quotes, tentative bookings, and customer inquiries.
• Provide daily administrative support across charter operations and related business functions.
• Assist in generating reports, booking summaries, schedules, and other operational administration needs.
• Manage multiple bookings, customer requests, and competing priorities while upholding accuracy and service quality.
• Promote a high standard of customer service through clear, professional, and prompt communication.
• Identify scheduling conflicts, booking issues, or service gaps early and escalate as necessary.
• Collaborate closely with management and operations staff to ensure efficient delivery of charter services in line with client expectations.
• Contribute to the enhancement of processes related to booking, scheduling, and administrative workflows.
• Minimum of 2 - 3 years of experience in bookings, scheduling, administration, customer service, or a similar coordination-focused role.
• Excellent verbal and written communication skills with the capacity to engage professionally with customers and internal stakeholders.
• Proven ability to manage multiple priorities and work concurrently on several bookings or tasks.
• High degree of organization and attention to detail, especially when managing schedules, quotes, and booking records.
• Capability to thrive in a fast-paced environment while maintaining composure under pressure.
• Strong problem-solving skills with the ability to adapt quickly to changes in bookings or scheduling needs.
• Confidence in discussing pricing, preparing quotes, and managing booking-related conversations with customers.
• Competent administrative abilities, including data entry, document management, and maintaining accurate system records.
• Strong time management skills, with the ability to meet deadlines and follow up on outstanding tasks.
• Proficiency in Microsoft Office and experience with booking, scheduling, CRM, or administrative systems.
• Ability to work both independently and collaboratively as part of a larger operations or administration team.
• Customer-oriented mindset with a dedication to delivering a high level of service and responsiveness.
• Professional demeanor, reliability, and accountability in managing customer and business information.
• Experience in transport, charter services, travel, logistics, or service-oriented scheduling environments is highly valued.
