This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee and streamline a high-volume email inbox

• Professionally and promptly respond to or triage incoming email inquiries

• Ensure timely follow-ups to avoid missed opportunities

• Handle inbound phone calls with professionalism and assurance

• Address client inquiries and provide accurate information or direct them as needed

• Uphold a high standard of customer service consistently

• Prepare and dispatch fee proposals and quotations

• Guarantee the accuracy, clarity, and timely delivery of all client-facing documents

• Schedule and coordinate appointments, meetings, and consultations

• Manage calendars to ensure effective scheduling

• Conduct basic follow-ups with clients

• Request necessary information from consultants, contractors, or clients

• Assist in the coordination of ongoing projects and track their progress

• Utilize project management tools (Accelo being the primary software; training will be provided)

• Contribute to the enhancement of workflows and administrative processes

• Maintain organized records and documentation

• Provide ad hoc administrative support as the business expands

• Identify opportunities to enhance efficiency and facilitate business scalability


⛳️ Requirements

• Demonstrated experience in an Administration Assistant or a comparable role (mid to senior level)

• Exceptional written and verbal communication skills in English

• Strong professionalism and ability to communicate effectively with clients

• Confident in managing phone calls and client interactions

• Experience in managing inboxes, inquiries, and administrative workflows

• Strong organizational abilities with keen attention to detail

• Capacity to think critically, prioritize tasks, and operate independently

• Familiarity with project management or task management tools (e.g., Accelo, Asana, Monday.com, or similar)

• Ability to juggle multiple tasks and deadlines in a fast-paced environment

• Experience with invoicing and Xero software is preferred
