This is a fully remote position, open to applicants in United States.
• Arrive fully prepared for all program operations by completing the following tasks: Attend the Travel Director Meeting, either in person or by reviewing the recorded session.
• Review all program documentation thoroughly prior to departure to ensure comprehensive knowledge of all program components.
• Examine all details available in the program folder on the TD Event Doc SharePoint web portal.
• Visit the websites of the client, the hotel, and the destination.
• Download all necessary Process Documentation forms and procedures required to perform your designated duties.
• Note any questions to discuss with the Area Lead or the program's Lead Travel Director upon arrival.
• Follow the guidance of the Lead Travel Director to facilitate smooth program operations as a cohesive team.
• Engage in training sessions provided to enhance your understanding of each role and acquire new skills.
• Attend pre-convention meetings relevant to your specific responsibilities.
• Keep the Lead Travel Director updated on any changes, concerns, and challenges related to your area of responsibility.
• Take ownership and accountability for your designated role.
• Utilize all forms designed to improve program operations and communication, as well as document all financial matters.
• Ensure efficient operations and client satisfaction by delivering dedicated service to our clients and participants for a successful travel experience.
• Propose suggestions to Travel Direction Leadership aimed at enhancing the Travel Director's on-site performance and fostering teamwork.
• Collaborate closely with Travel Direction leadership to establish best practices and boost efficiency.
• Maintain consistent communication regarding program changes with all on-site team members, the Account Executive (AE), clients, suppliers, and other internal ITA Group staff.
• One to two years of customer service experience in a service-oriented industry is preferred.
• Excellent interpersonal skills; ability to be adaptable and considerate of others' needs.
• Capacity to think and act proactively.
• Proven leadership abilities and the capability to work independently.
• Proficiency in performing basic math and accounting tasks.
• Physical capability to perform occasional heavy lifting (up to 50 pounds) and to stand for several hours.
• Willingness to work the necessary hours on-site to complete projects and meet deadlines.
• Ability to demonstrate a sense of urgency, ownership, and accountability.
• Proficient in Microsoft® Word, Microsoft® Excel, and Microsoft® PowerPoint, along with internet browsing skills.
• Must be capable of performing mail merges and manipulating data within spreadsheets.
• Basic understanding of printers and on-site technology.
• Familiarity with mobile technology and applications.
• Strong organizational skills with experience in detail-oriented tasks; ability to juggle multiple responsibilities.
• Experience in effective communication and relationship-building.
• Capability to interact with all levels of client management.
• Ability to maintain a positive, professional attitude and contribute to a harmonious working team at all times.
• Maintain confidentiality regarding matters such as costing and sensitive, personal, or proprietary client and corporate information.
• Collaborate with internal teams to escalate complex issues effectively.
• Stay informed about personal computer systems; familiarize yourself with enhancements that boost efficiency and improve communication quality.
