This is a fully remote position, open to applicants in United States.
• Evaluate potential vendors whose capabilities improve physical security or engineering performance.
• Oversee the complete vendor onboarding process, including the execution of NDAs, TPRM entry, and the Master Agreement workflow in IronClad.
• Keep vendor onboarding trackers updated and facilitate vendor entry into Yardi.
• Generate, verify, and maintain vendor contracts along with vendor setup documentation.
• Ensure adherence to internal policies, security standards, procurement guidelines, and TPRM requirements.
• Draft and supervise SOWs for Physical Security, Security Engineering, Construction, and New Site Development.
• Acquire and manage purchase orders for Physical Security Managers, Contractors, and Engineers.
• Monitor purchase orders by site and GL account while maintaining regional spending forecasts.
• Develop dashboards for forecasting and budget planning utilizing daily tracker data.
• Handle year-end accruals, PO closeouts, invoice processing, matching, coding, and approvals.
• Create reports that track vendor spending and the financial health of projects.
• Assist in cost-optimization strategies and vendor recommendations.
• Cultivate relationships with assigned vendors and address any issues that arise.
• Conduct monthly or quarterly reviews of vendor performance.
• Establish and track vendor KPIs and communicate trends to operations leadership.
• Facilitate vendor work sessions to resolve invoicing discrepancies and enhance operational efficiency.
• Provide leadership with insights on performance, risk, and recommended actions.
• Assist the Vendor Relationship Manager in daily operations and long-term program strategy.
• A Bachelor's degree in Business or a related field, or equivalent experience is required.
• A minimum of 3 years of experience in procurement, vendor management, or a similar role.
• Excellent written and verbal communication skills.
• Preferred experience in negotiation, vendor interactions, and cross-functional collaboration.
• Ability to handle multiple priorities in a fast-paced environment.
• Advanced proficiency in Microsoft Excel is essential.
• Strong analytical skills and capability in data interpretation.
• High ethical standards, attention to detail, and accuracy in reporting are crucial.
• Experience in data centers, high-tech environments, or rapidly growing industries is highly preferred.
• Willingness to travel up to 5%, with the possibility of an increase based on business needs.
• Capability to occasionally lift and/or move items weighing up to 25 pounds.
