Reporting/Compliance Specialist

This is a fully remote position, open to applicants in Arizona, +4 more states.

📋 Description

• Act as the guardian of data quality and integrity across all systems related to procurement, setting and enforcing data entry standards, validation rules, and quality control measures while conducting regular audits to pinpoint and rectify data inconsistencies.

• Develop and implement the procurement metrics, compliance reporting, and monitoring framework for the account, establishing key performance indicators and creating repeatable processes for data collection, validation, and compliance reporting.

• Manage and oversee the account's sourcing request intake and tracking tool in Smartsheet, keeping track of all incoming requests, proactively identifying stagnant requests, and collaborating with stakeholders to understand obstacles and facilitate resolutions.

• Create and design dashboards that deliver clear insights into procurement compliance, spend analytics, supplier performance, and operational trends, generating executive-level reports for compliance metrics and spending categorized by supplier and category.

• Function as the primary owner and authoritative figure for procurement compliance on the account, monitoring and enforcing compliance requirements such as Certificate of Insurance documentation, contract terms, supplier certifications, and regulatory obligations.

• Supervise the collection, analysis, and reporting of spend metrics across all procurement categories, developing a thorough view of spending including expenditures categorized by category, supplier, service line, location, and time frame.

• Oversee the collection, tracking, and reporting of supplier performance data across the supplier base, creating performance scorecards that highlight how suppliers measure up against established standards and service level agreements.

• Analyze extensive datasets by merging and reconciling information from various sources, including ERP exports, financial systems, spend data, contract repositories, and work order systems to recognize compliance trends and spending patterns.

• Monitor contract expiration timelines and renewal processes to ensure seamless compliance, set up automated alerts and reporting within Smartsheet, and establish standardized documentation protocols to support audit preparedness.

• Offer guidance and training to ensure uniform data entry practices across the procurement team and operational stakeholders, while continually enhancing dashboards for improved clarity, usability, and strategic insight.

⛳️ Requirements

• 3-5 years of experience in strategic sourcing, procurement compliance, contract management, spend analytics, risk management, or operational analytics focused on services or indirect categories.

• Solid understanding of procurement compliance requirements, including insurance documentation, contract terms and conditions, supplier certifications, and regulatory obligations.

• Proven experience in spend analysis, category spend tracking, and financial data examination.

• Advanced skills in Microsoft Excel, including pivot tables, complex formulas, VLOOKUP/XLOOKUP, data validation, and analysis of large datasets.

• Experience utilizing Smartsheet to create and manage intake tools, workflows, dashboards, and automated tracking systems.

• Demonstrated capability to integrate and analyze data from multiple systems and sources.
