This is a fully remote position, open to applicants in Virginia.
• Coordinates and oversees the logistics for meetings and tradeshows.
• Executes both face-to-face and virtual meetings.
• Manages on-site meetings, collaborating with external vendors and hotel personnel to ensure effective teamwork.
• Oversees the complete process of abstract and ePoster submissions for the annual meeting.
• Responsible for the RFP, site selection, and contract negotiation processes.
• Manages the housing arrangements by liaising directly with hotels to establish a master room list, monitor pick-up reports, pace reports, and rooming lists.
• Maintains budget awareness and operates within established financial parameters.
• Provides phone-based customer support while contributing to the team that manages the call queue.
• Bachelor’s degree and/or CMP designation is preferred.
• A minimum of 3 years of experience in a meeting planning capacity.
• Previous experience with medical associations and a knowledge of ACCME Policies and Procedures is preferred.
• Proficient in creating, planning, and executing tradeshow logistics.
• Brings creativity, especially regarding sponsorships, exhibitor relations, and revenue-generating opportunities.
• Skilled in various online virtual event and meeting platforms (e.g., Zoom).
• Comprehensive understanding of meeting planning principles and practices.
• Excellent interpersonal, oral, and written communication skills are required.
• Must be collaborative and team-oriented.
• Strong attention to detail and exceptional multi-tasking skills with the ability to manage multiple projects.
