This is a fully remote position, open to applicants in Mexico.
• Review leases, amendments, and legal documents to identify key terms such as rent, escalations, CAM structures, and essential obligations.
• Accurately input and maintain lease data in Yardi, ensuring consistency with executed agreements.
• Keep lease documentation for all tenants organized and complete.
• Set up new tenants in Yardi, ensuring that all lease terms and billing structures are correct before the first billing.
• Coordinate tenant move-ins and move-outs, including final billing, deposit reconciliation, and ledger closeout.
• Ensure that the tenant portal (RentCafe) setup and communication are completed promptly.
• Manage the daily application of cash receipts to tenant ledgers.
• Review tenant accounts for accuracy, including rent, CAM, tax, and other charges.
• Process billing adjustments, late fee reversals, and corrections as necessary.
• Investigate and resolve tenant disputes concerning billing and account balances.
• Assist with the setup of CAM estimates and annual reconciliation processes.
• Review and validate operating expense recoveries, property taxes, and insurance allocations.
• Ensure that CAM charges are accurately represented in tenant billings.
• Track important lease dates, including expirations, renewals, rent escalations, and notice periods.
• Proactively communicate impending deadlines to internal stakeholders.
• Act as the primary point of contact for tenant account inquiries.
• Collaborate with Accounting, Asset Management, and Property Management to resolve discrepancies and maintain data accuracy.
• Support communication with tenants regarding balances, credits, and billing updates.
• Conduct periodic audits of tenant ledgers and lease data for accuracy and completeness.
• Assist in the preparation of estoppel certificates and lease-related documentation.
• Ensure adherence to lease terms and company policies.
• 2–5 years of experience in property management, lease administration, or real estate accounting.
• Strong proficiency in Yardi (mandatory) and advanced Excel skills.
• Exceptional attention to detail with the capability to interpret complex lease agreements.
• Solid understanding of CAM, NNN leases, rent structures, and AR processes.
• Ability to handle high-volume transactional work with precision and efficiency.
• Strong organizational and time management skills in a fast-paced setting.
• Effective communication skills with the ability to collaborate cross-functionally.
• Work remotely Monday - Friday, 40 hours a week (no weekends).
