This is a fully remote position, open to applicants in North America.
• Ensure precise documentation of fleet and equipment records, including registrations, titles, permits, warranties, and insurance paperwork.
• Oversee the allocation, transfer, and disposal of vehicles and equipment.
• Monitor fleet usage and contribute to asset optimization strategies.
• Manage fleet management software and maintain asset databases.
• Organize preventive maintenance schedules and inspections for vehicles, trailers, and equipment.
• Facilitate repairs with internal teams and external service providers.
• Track maintenance compliance and monitor vehicle downtime.
• Assess repair estimates and invoices for precision and cost management.
• Ensure service records are accurately documented and preserved.
• Supervise registration, licensing, DOT inspections, and adherence to regulatory standards.
• Assist in the implementation of fleet safety programs and driver compliance initiatives.
• Provide support for accident reporting, claims documentation, and investigations of vehicle incidents.
• Monitor driver qualifications and ensure necessary certifications are in place.
• Verify that fleet assets align with company safety standards and regulatory requirements.
• Monitor fuel card usage and identify possible misuse.
• Aid in the administration of GPS and telematics systems.
• Generate reports on utilization, idle time, fuel consumption, and maintenance activities.
• Analyze fleet performance metrics and suggest enhancements.
• Keep track of trailers, tools, and other fleet-related assets.
• Coordinate the delivery and retrieval of equipment.
• Conduct regular asset audits and inventory confirmations.
• Maintain systems for asset identification and tracking.
• Build and nurture relationships with maintenance providers, dealerships, rental agencies, and fleet service vendors.
• Obtain service quotes and organize scheduling.
• Assist in evaluating vendor performance and managing costs.
• A high school diploma or GED is mandatory.
• At least 3 years of experience in fleet, equipment, transportation, or asset management is required.
• Preferred experience in construction, utility, heavy civil, or similar sectors.
• Strong organizational and administrative capabilities are essential.
• Proficiency in Microsoft Office Suite, especially Excel.
• Familiarity with fleet management, GPS, telematics, or asset tracking software is necessary.
• Excellent communication and customer service skills are required.
• Ability to juggle multiple priorities in a dynamic environment.
• Knowledge of DOT/FMCSA regulations is preferred.
• Experience with fleet management systems such as Verizon Connect, Samsara, Geotab, Fleetio, or similar is preferred.
• Background in supporting construction equipment and trailer fleets is preferred.
