This is a fully remote position, open to applicants in United States.

📋 Description

• Act as a key resource for staff throughout the lifecycle of contracts, subcontracts, and subawards, which includes support for drafting, reviewing, executing, modifying, tracking, and closing out agreements.

• Assist team members in choosing the appropriate templates and, when necessary, create new templates in collaboration with ABC’s General Counsel.

• Evaluate priority and complex contracts, subcontracts, subawards, MOUs, NDAs, and related agreements to ensure adherence to ABC policies, federal and state regulations, and donor stipulations.

• Analyze funder agreements to pinpoint flow-down provisions and guarantee their correct incorporation into downstream agreements.

• Occasionally engage directly with institutional funders to address contracting issues, in partnership with the Development team.

• Aid staff in evaluating risk factors associated with contracts.

• Keep organized and auditable files, collaborating with ABC’s database experts to ensure precise tracking of crucial details relevant to contracting (key dates, deliverables, compliance mandates, and payment timelines) in our centralized finance and grant management system.

• Serve as a resource for Project Managers during the procurement of goods and services, including offering guidance on bid collection, purchase documentation, vendor selection criteria, and issuance of subawards.

• Enhance visibility for staff regarding the contracting process, keeping everyone on track and advancing necessary contracting steps.

• Support purchasing compliance by delivering staff training and reinforcing internal policies and documentation standards.

• Maintain a strong understanding of federal regulations (including Uniform Guidance), state laws, and other public and private donor policies that impact subcontracts and subawards.

• Update and manage subcontract and subaward templates in consultation with legal counsel to reflect any regulatory or policy modifications.

• Engage in relevant external training to keep regulatory knowledge current.

• Assist in ensuring audit readiness by consistently applying documentation standards.

• Serve as a liaison among Conservation Programs, Development, Finance, and external parties to enhance workflow and effectiveness.

• Collaborate with Development and Finance to ensure contracts, subcontracts, and subawards align with approved budgets and payment frameworks.

• Provide training, guidance, and written resources to staff regarding contract, subaward, and procurement processes and best practices.

• Identify bottlenecks or inconsistencies in contracting and procurement processes and propose enhancements to promote transparency, efficiency, and compliance.


⛳️ Requirements

• Bachelor’s degree and a minimum of five (5) years’ experience in nonprofit contracts, specifically in subcontracting and managing federal funds, or a combination of relevant education, training, and experience.

• Familiarity with Federal and non-Federal grant regulations, Uniform Guidance, and terms and conditions of agreements.

• Experience in procurement processes (requests for bids, cost analyses, etc.).

• Proven experience in reviewing and coordinating grants, contracts, MOUs, NDAs, and subaward agreements.

• Capability to efficiently navigate complex agreements and distill essential requirements for program staff.

• Strong analytical abilities and sound professional judgment.

• Experience in managing multiple workflows and meeting deadlines in a fast-paced environment.

• Excellent organizational, written, and verbal communication skills.

• Ability to collaborate across different divisions and engage with individuals at all levels of the organization.

• Proficiency in computer applications and software, particularly Excel; familiarity with NetSuite/PyanGo systems is preferred.

• Ability to work independently, effectively, and accurately while meeting deadlines.

• Capacity to maintain confidentiality regarding donor and organizational information.

• Strategic thinker with a systems-oriented perspective.

• Experience in conservation is regarded as a plus.

• A sense of humor is appreciated.
