• Oversee shared service inboxes and intake channels, effectively triaging and directing referrals and service requests to the relevant internal teams.
• Assess incoming referrals to guarantee completeness, funding authorization, and adherence to operational and program guidelines.
• Organize intake scheduling by coordinating client and clinician availability within set system processes and timelines.
• Address client and external stakeholder inquiries related to intake status, documentation requirements, and service timelines.
• Assist with funding verification activities, payment documentation processes, and coordination with internal Finance teams.
• Generate, prepare, and disseminate system-based and operational reports as necessary.
• Visit the office monthly to perform workplace safety checks and oversee the distribution of incoming mail.
• Collaborate with property management concerning facility maintenance, office operations, and site-related issues.
• Assist Clinic Management with operational projects, workflow improvements, and ongoing process enhancement initiatives.
• At least 2 years of experience in a professional office and customer service setting.
• Proficiency in Word, Excel, and PowerPoint.
• Post-secondary education along with courses in psychology and/or business administration would be beneficial.
• Strong organizational and time management capabilities.
• Exceptional verbal and written communication skills in English; proficiency in French would be advantageous.
