This is a fully remote position, open to applicants in Texas.
• Act as the primary point of contact for clients through phone, email, and chat, delivering prompt, courteous, and precise assistance.
• Respond to inquiries regarding services, appointments, locations, and basic account or portal access issues, escalating clinical or complex questions to the relevant team.
• Schedule, reschedule, and confirm appointments in the electronic system as required, adhering to established protocols.
• Aid clients in comprehending the instructions received from the clinic (e.g., what to bring, insurance details, forms, or documents).
• Accurately document all client interactions in the appropriate systems, in compliance with internal procedures.
• Recognize urgent or sensitive matters and follow escalation protocols to guarantee that clients receive timely attention.
• Collaborate closely with internal teams (scheduling, billing, medical records, and clinical staff) to address multi-step client issues.
• Uphold a high standard of professionalism, empathy, and confidentiality in every interaction, in accordance with organizational and privacy guidelines.
• Prior experience in customer service, call center, or client support; experience in healthcare or nonprofit sectors is advantageous but not mandatory.
• Strong verbal and written communication abilities with a patient, empathetic, and solution-oriented approach.
• Proficient in using computers, various software systems, and learning new tools for scheduling, documentation, and communication.
• Exceptional organizational skills and attention to detail, with the capacity to manage multiple tasks in a dynamic remote setting.
• Ability to work independently, meet performance and quality standards, and adhere to established processes.
