Care Advocate

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee leads across various marketing channels, with the capability to evaluate the needs of leads and provide insights on fertility services and financial options available at OMA.

• Articulate a complex and often confusing process in an easily understandable manner.

• Address inquiries from leads and existing patients, assisting them with their questions, scheduling appointments, and processing payments.

• Review all new patient appointments on a daily basis and follow up with patients after their visits.

• Offer support and guidance as they navigate their fertility journey at OMA.

• Serve as a liaison between patients and clinical teams.

• Conduct meetings (daily/weekly/as needed).

• Collaborate with sales, finance, clinical, and management teams to create processes that alleviate challenges in the patient journey.

• Implement improvements aimed at enhancing patient acquisition and retention.

• Monitor conversions within the marketing funnel: Inquiries, Inquiries to Scheduled Appointments, Testing to Follow-up Visits, Follow-up Visits to Treatment, Patient/Treatment Retention, and Refund Requests.

• Produce weekly and monthly reports detailing new leads, referrals, marketing activities, and procedures.

• Financial Coverage: Train on the financial processes and provide backup support to the Financial Care Coordinator.

• Educate patients on financial matters, including estimates for treatment and medications, insurance coverage/reimbursement, and financial assistance from external entities like CapexMD.

• Gather payment information and inform the clinical team when patients are authorized to begin treatment.

• Egg Donation Program Coverage: Train on the egg donor process and provide backup support to the Third-Party Coordinator as necessary.

• Conduct pre-screening of potential donors, maintain correspondence with them, track the application and donation process, and act as the liaison between donors and clinical staff.

• Experience in the fertility or medical sector, with a foundational understanding of reproductive health.

• Proficient computer skills, including expertise in Word and Excel.

• Ability to master Electronic Medical Records and other new applications as required for the role.

• Empathetic and driven to assist patients.

• Strong interpersonal and problem-solving abilities, capable of addressing intricate and sensitive topics.

• Outstanding verbal and written communication skills.

• Excellent teamwork and networking capabilities.

• Strong organizational skills and effective time management.

• Able to work independently.
